Position Overview

The Program Coordinator I, under general supervision, coordinates the planning, development, and implementation of the McNair Scholars Program, a federally funded TRIO program designed to prepare first-generation, low-income undergraduate students for doctoral studies. The coordinator provides academic advising, financial aid counseling, and research opportunities to program participants in accordance with federal TRIO program regulations. This position plans and implements program events, maintains program records and databases, assists with budget monitoring, and coordinates communications and marketing. The coordinator also conducts developmental workshops, and assists students in securing admission to graduate school and research internship opportunities.

Essential Duties and Responsibilities

Program Coordination and Event Planning

  • Plans and implements program events, including conferences, seminars, lectures, workshops, and orientations.

  • Coordinates program logistics including scheduling, facilities, travel arrangements, and vendor communications.

  • Coordinates program communications and marketing materials for participants, alumni, and the university.

  • Develops and updates program training materials and delivers workshops on topics such as study skills, time management, and university degree plans.

  • May supervise program staff and student workers.

  • Responds to inquiries regarding program offerings and eligibility

Student Advising and Academic Support

  • Provides academic and financial aid counseling to program participants.

  • Assists students in securing admission to graduate and doctoral programs.

  • Coordinates opportunities for research and scholarly activities, tutoring, summer internships, and seminars designed to prepare students for doctoral studies in accordance with federal program regulations.

  • Works with program participants to improve academic progress.

  • Advises and assists first-generation college students with high-impact practices and experience in research processes.

  • Conducts developmental workshops on study skills, time management, and university degree planning.

Program Records, Data, and Compliance

  • Maintains program records and participant databases in compliance with federal TRIO program requirements.

  • Compiles and analyzes program statistics for reporting purposes.

  • Prepares annual performance reports and other documentation required by the federal grantor.

  • Ensures program operations comply with federal regulations and grant provisions.

Communication, Marketing, and Recruiting Engagement

  • Coordinates program communications and serves as primary point of contact for program inquiries.

  • Develops and disseminates marketing materials to recruit eligible participants and promote program awareness.

  • Assists in identifying funding opportunities.

  • Assists in preparation and monitoring of budgets for programs and events.

Required Qualifications

  • Education – Bachelor's Degree required or equivalent combination of education and experience.

  • Experience – Two years of program administration experience.

Preferred Qualifications

  • Master's Degree preferred in education, counseling, social work, higher administration or an appropriate field related to Project objectives.

  • Minimum of two (2) years of experience in the areas of assisting with staff or students’ supervision; budget management; program development and evaluation; reporting and compliance with federal regulations.

  • Minimum of two (2) years of experience with federal TRIO programs, academic support programs, or similar programs for first generation and low-income students.

  • Experience providing academic advising services and college, career, financial aid and economic literacy information to college students.

  • Experience advising and assisting first-generation college students with high impact practices and/or experience in research processes and STEM field related labs.

  • Professional or personal experience in overcoming barriers similar to those confronting Project Participants.

  • Experience with individual tutorial plans, semester schedules, and certifications.

  • Experience in conducting developmental workshops such as study skills, time management, and university degree plans.

Knowledge, Skills, and Abilities

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to multitask and work cooperatively with others.

  • Strong verbal and written communication skills.

  • Knowledge of federal TRIO program regulations and compliance requirements.

  • Ability to provide academic advising and financial aid counseling to college students.

  • Experience advising first-generation, low-income students and assisting with graduate school preparation.

  • Ability to plan, coordinate, and implement educational programs and events.

  • Ability to compile and analyze program data and prepare accurate reports.

  • Strong organizational and time management skills.

  • Ability to sit for extended periods while working at a computer workstation.

  • Ability to move light objects such as books, files, and presentation materials.

  • Ability to travel independently to on-campus and off-campus locations for program activities and events.

  • This position is security sensitive.

  • This position will require export-control authorization prior to starting employment.

  • This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures.

  • All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and University safety requirements.

  • This position may require work beyond normal office hours and/or work on weekends for program events.

  • This position may direct and/or evaluate the work of program staff and student employees.

  • This position is funded through a federal TRIO McNair Scholars Program grant, which is renewed through provisions of the U.S. Department of Education. Therefore, this position is contingent upon continuation of grant funding as well as satisfactory job performance.

Additional Information

A federal proclamation issued on September 19, 2025, imposes a $100,000 fee on new H-1B petitions filed after September 21, 2025. Texas A&M University-Kingsville will not pay this fee. If immigration sponsorship may be required for employment, consult with private immigration counsel, at the individual’s expense, is recommended to determine whether the individual’s current immigration status would make a potential offer of employment from Texas A&M University-Kingsville subject to this fee.

In addition, on January 27, 2026, Texas Governor Abbott issued a moratorium on the filing of any new H-1B petitions unless approved by the Texas Workforce Commission.
