The City of Pasadena is currently seeking a diligent, focused and self-motivated Prosecution Assistant to prepare and deliver legal documents in support of the Prosecution Division of the City Attorney/City Prosecutor's Office.

The ideal candidate will not be bothered by the routine work associated with creating and updating case files. They will have no problem performing administrative support duties in support of various types of criminal actions prosecuted by the City Attorney/City Prosecutor's Office. An example of these duties includes data entry, ordering discovery, processing subpoenas and supporting special programs.

Essential Functions

The major responsibilities of this position are listed.


  • Enters data and prepares criminal complaints for filing; opens, updates and closes case files in case management system; enters data into legal database to generate complaints, subpoenas and other standard legal documents.
  • Composes letters from notes and specific instructions; proofreads and corrects documents to ensure accuracy of records and entry of information.
  • Interacts with the public at a public counter and by telephone to resolve problems and answer questions; collects restitution payments in person and by mail; processes and remits restitution to victims.
  • Responds to requests for information from other City departments, court officials and the public relating to legal processes; interacts with and schedules meetings with Court personnel, City staff, other attorneys and witnesses; schedules and maintains calendars for assigned attorneys, including court appearances, appointments, assignment deadlines and vacations.
  • Gathers documentary evidence and obtains all relevant information such as medical records, police reports, criminal histories, interview tapes, 911 tapes/digital files, photographs and other evidentiary materials; may conduct research and maintain databases to verify property ownership and coordinate office hearings and inspections.
  • Performs related duties as assigned.

EDUCATION AND EXPERIENCE
  • Graduation from high school or GED equivalent.
  • At least five years of progressively responsible experience performing administrative support or file management duties in a legal office.
  • Coursework in law or a related field from an accredited college is preferred.
SELECTION PROCESS
The selection process may consist of a training and experience evaluation, typing test, written test, and department-level interviews.

VACANCY INFORMATION
There is currently one vacancy in the Prosecution Division of the City Attorney's/City Prosecutor's Office. The resulting eligibility list from this recruitment may be used to fill this vacancy and similar vacancies in the future.

Candidates selected for this position are subject to a one year probationary work period.

Special Requirements

Must possess a valid California Class C driver's license and comply with the City's Motor Vehicle Safety Policy during the course of employment.

Must type 45 net words per minute with 95% accuracy.
