Job Summary

The Executive Assistant plays a central role in supporting the employee staffing processes, managing essential operational systems, and ensuring smooth day‑to‑day functioning across the Clinical Trials Office ( CTO ) and affiliated programs and teams. This position is highly collaborative and service‑oriented, partnering closely with CTO leadership, teams, and new and existing employees to maintain an efficient, welcoming, and well‑organized work environment.

Essential Functions

  • Coordinate all staff onboarding and exit activities, ensuring seamless experience for employees and managers.

  • Provides administrative assistance, calendaring, daily schedule management, projection and planning as well as oversight of key leadership meetings by way of setting up, agendas, and minutes for Clinical Trial leadership.

  • Maintains Clinical Trials staff lists, organization charts, seating charts, and spreadsheets.

  • Assistance with staff meetings and overall administration operations required to run the department.

  • Research, analyzes, and prepares administrative and statistical reports and documents as needed.

  • Assist with office supplies and equipment orders and keeping inventory stocked.

  • May supervise the activities of support staff including planning and organizing the department workflow.

  • Clinical Trials leadership and department special project support as needed.

Problem Solving

Individuals in this position exercise independent judgment when resolving a wide range of issues involving both the department and the public. They must consistently demonstrate professional discretion when advising others. People serving in this role may also be required to represent the department and interact with individuals at the highest levels in public settings.

Minimum Qualifications

Bachelor’s degree in Business, Finance, Health Care Administration or a related field, or equivalency (one year of education can be substituted for two years of related work experience) required. Two years office management and supervisory experience, demonstrated knowledge of finance and budgeting, and public relations skills required. Demonstrated human relations and effective communication skills are also required.
