About Vantage Mental Health

We are looking for a detail-oriented and proactive Medical Assistant to join our team and support our psychiatric providers, including psychiatrists, psychiatric nurse practitioners (NPs), and physician assistants (PAs). This specific opening is also to partner with our TMS technician in administering TMS treatments when needed in coverage.
Position Overview
As a Medical Assistant, you will play a key role in ensuring seamless patient-provider communication and operational efficiency. Your responsibilities will include managing provider in baskets, coordinating patient care, handling administrative tasks, and developing best practices for clinical workflows. This position will be a hybrid role between remote and our Edina clinic but is subject to change based on the needs of the team.
Key Responsibilities
Patient & Provider Support

Serve as the primary point of contact for patient inquiries outside of appointments

Assist patients in navigating care recommendations, referrals, and follow-ups

Answer calls, respond to emails, and facilitate communication between patients and providers

Check in clients for appointments (virtual and in-person)

Take vitals for in-person visits when applicable
Administrative & Clinical Coordination

Submit prior authorizations for medications and treatments

Process medication refill requests efficiently

Manage provider inbaskets and ensure timely resolution of tasks

Schedule and confirm patient appointments

Maintain accurate and up-to-date patient records in the EMR system

Handle insurance verifications and billing processes
Process Improvement & Policy Development

Develop, document, and optimize protocols for administrative and patient support tasks

Identify opportunities to enhance efficiency and patient experience
TMS Technician Support (training included) - Stillwater clinic
- Administer Transcranial Magnetic Stimulation (TMS) therapy following provider protocols in coverage for our primary TMS Technician

Educate patients on the TMS treatment process, expectations, and potential side effects

Monitor patients during sessions and document treatment progress

Ensure proper setup, calibration, and maintenance of TMS equipment

Maintain a clean, professional, and organized treatment environment

Communicate with psychiatric providers regarding patient response to treatment
What We’re Looking For

Experience in a medical assistant, healthcare administration, or patient coordination role (preferably in mental health or psychiatry)

Familiarity with prior authorizations, medication management, and insurance processes

Strong communication and organizational skills

Ability to work independently and collaboratively in a fast-paced environment

Proficiency in electronic medical records (EMR) and patient scheduling systems
