Are you a systems-thinker with a passion for high quality mental health services? NorthStar Psychiatry is seeking a dynamic Practice Manager to oversee operations across our four regional locations. Based out of our Beaverton office, you will be the "glue" that holds our clinical and administrative functions together. You’ll join a collaborative leadership team (CEO, Medical Director, Intervention Manager, and Billing Director) to support our mission of providing top-tier psychiatric care.

Why NorthStar? You will lead a robust team of 8 therapists, 5 prescribers, and a diverse support staff of 12-16 individuals, including our specialized virtual assistant team. This is a role for a leader who thrives on building efficient workflows and maintaining a culture of clinical excellence.

Job Description

Core Responsibilities

  • Operational Oversight: Manage day-to-day operations for 4 physical locations, ensuring consistent branding, patient experience, and safety protocols.
  • Team Leadership: Supervise 6+ local staff and 6 virtual assistants; facilitate communication between therapists, prescribers, and administration.
  • Develop and implement policies and procedures to achieve operational excellence and efficiency while ensuring exceptional patient experience
  • Utilize CharmEHR practice administration suite to achieve KPI’s and monitor analytics
  • Collaborate with the leadership team and billing department for successful revenue cycle management
  • Work with intervention team for Spravato Buy and Bill inventory management
  • Compliance & Privacy: Serve as the internal champion for compliance, ensuring all physical and digital workflows protect patient confidentiality.
  • Interdisciplinary Collaboration: Meet weekly with the CEO and Medical Director to align operational goals with clinical outcomes.
  • Human Resources: Handle onboarding, performance reviews, and scheduling for administrative staff.
  • Workflow Optimization: Partner with the Billing Director to ensure seamless "front-to-back" office transitions, from intake to claims.

Required Qualifications

  • Experience: 3-5 years of management experience in a medical or mental health setting. Multi-site management experience is a significant plus.
  • Education: Bachelor’s degree in Healthcare Administration, Business, or a related field (Master’s preferred).
  • Tech Savvy: Proficiency with EHR systems and managing remote/virtual teams. CharmEHR and G Suite a plus.
  • Regulatory Knowledge: Deep understanding of HIPAA regulations and Oregon state healthcare laws.
  • Leadership Style: A "servant-leader" approach, in other words, someone who is approachable for staff but firm on policy and efficiency.
