Public Relations

JOB DESCRIPTION

The Public Relations Officer is responsible for managing the company’s public image, maintaining relationships with clients and partners, and coordinating catering services and events. The role ensures that all external communications, corporate engagements, and catering operations are handled professionally while maintaining the company’s brand reputation and service standards.


RESPONSIBILITIES

1. Public Relations Management

·       Maintain and promote a positive public image of the company.

·       Act as the primary contact person for external communications and client relations.

·       Build and maintain strong relationships with corporate clients, partners, and event organizers.

·       Represent the company in meetings, public events, and promotional activities.

·       Respond to customer inquiries, feedback, and complaints in a professional manner.

·       Coordinate promotional activities, announcements, and public communications when required.

·       Ensure that all public interactions reflect the company’s brand values and professionalism.


2. Catering Coordination

·       Manage and coordinate all catering inquiries and bookings.

·       Communicate with clients to understand event requirements, guest numbers, and service expectations.

·       Prepare catering proposals, quotations, and confirmations.

·       Coordinate with the kitchen, barista team, and operations team to ensure proper preparation for catering events.

·       Arrange required equipment, coffee machines, products, and staff for catering services.

·       Supervise catering events to ensure smooth execution and high service standards.

·       Ensure timely delivery, setup, and completion of catering services.

3. Event Coordination

·       Plan and organize corporate coffee services, catering events, and promotional activities.

·       Ensure proper scheduling and coordination of staff and resources for events.

·       Monitor event setup and ensure service quality meets company standards.

·       Collect client feedback after events and report improvements where necessary.


4. Client Relationship Management

·       Maintain a database of corporate and catering clients.

·       Follow up with clients to ensure satisfaction and build long-term relationships.

·       Identify potential opportunities for new catering partnerships and corporate collaborations.

·       Support business development by promoting catering and event services.


5. Coordination with Internal Departments

·       Coordinate with the roasting, kitchen, barista, logistics, and operations teams for event preparation.

·       Work closely with the finance department regarding catering invoices and payments.

·       Ensure smooth communication between departments for successful event execution.


6. Reporting and Documentation

·       Maintain proper records of catering orders, events, and client communications.

·       Prepare reports on catering activities, client feedback, and PR engagements.

·       Provide suggestions to improve catering services and customer experience.


Qualifications & Skills

·        Bachelor’s degree in Business Administration, Marketing, Public Relations, Hospitality Management, or a related field .

·        Minimum 2–3 years of experience in public relations, client relations, hospitality, event management, or catering coordination.

·       Experience in the coffee, café, restaurant, or hospitality industry is an advantage.

·       Ability to handle corporate clients, events, and catering operations professionally.
