Job Summary:

The Purchase Executive is responsible for sourcing, negotiating, and procuring raw materials, trims, accessories, and services required for garment production. The role ensures timely availability of all items at competitive prices while maintaining quality standards and supplier relationships.

Key Responsibilities:

1. Procurement and Sourcing

  • Identify and evaluate reliable vendors and suppliers for fabrics, trims, accessories, packing materials, and general items.
  • Obtain and compare quotations to ensure best pricing and quality.
  • Issue purchase orders (PO) based on approved requisitions and follow up for timely delivery.
  • Maintain an updated vendor database with price lists and performance records.

2. Material Planning and Coordination

  • Work closely with the merchandising and production teams to understand material requirements based on order schedules.
  • Plan purchases according to the production timeline to avoid material shortages or excess inventory.
  • Coordinate with the stores department for stock verification and reorder planning.

3. Cost Control and Negotiation

  • Negotiate with suppliers to achieve cost efficiency without compromising quality.
  • Monitor and control purchase expenses as per approved budgets.
  • Analyze market trends and material price fluctuations for strategic purchasing decisions.

4. Documentation and Compliance

  • Prepare and maintain all purchase-related documentation, including PO, GRN (Goods Received Note), and supplier invoices.
  • Ensure compliance with company policies, quality standards, and audit requirements.
  • Maintain accurate records of all procurement transactions in ERP or other software systems.

5. Supplier Relationship Management

  • Develop and maintain strong relationships with suppliers to ensure reliable supply chains.
  • Conduct supplier evaluations periodically to assess quality, delivery, and service performance.
  • Resolve supplier issues related to delays, rejections, or quality deviations.

6. Coordination with Other Departments

  • Liaise with merchandising, production, and quality control departments for material approval and quality checks.
  • Coordinate with accounts for invoice verification and payment processing.

Key Skills and Competencies:

  • Strong negotiation and communication skills.
  • Good knowledge of garment raw materials (fabrics, trims, accessories, packing).
  • Familiarity with purchase and inventory management software (e.g., ERP systems).
  • Ability to work under pressure and meet tight deadlines.
  • Attention to detail and good analytical skills.

Qualification and Experience:

  • Education: Graduate / Diploma in Textile Technology / Supply Chain / Business Administration or equivalent.
  • Experience: 2–5 years of experience in purchase/procurement in a garment manufacturing unit.
  • Language: Proficiency in English, Hindi, and Malayalam (or as applicable).

Performance Indicators (KPIs):

  • On-time material availability for production.
  • Cost savings achieved through effective negotiation.
  • Supplier performance and quality consistency.
  • Accuracy and timeliness of purchase documentation.
  • Reduction in material shortages or overstock.

Job Types: Full-time, Permanent

Pay: ₹20,000.00 - ₹30,000.00 per month
