Role Summary
The Purchase Manager will be responsible for managing procurement operations, identifying reliable vendors, negotiating prices, maintaining optimal inventory levels, and ensuring cost-effective purchasing for the organization. The role requires strong negotiation skills, analytical thinking, and vendor management expertise.
Key Responsibilities1. Procurement & Purchasing
- Identify, evaluate, and select suppliers based on quality, price, delivery timelines, and service.
- Create purchase orders and ensure timely procurement of materials, goods, and services.
- Manage local and international sourcing depending on requirements.
- Maintain optimal stock levels to avoid shortages or overstocking.
Vendor & Supplier Management
- Establish and maintain strong relationships with vendors.
- Conduct regular vendor performance reviews.
- Ensure timely delivery and handle escalations related to delays or quality issues.
Negotiation & Cost Management
- Negotiate pricing, credit terms, delivery schedules, and contracts.
- Analyze costs and create strategies for cost reduction without compromising quality.
- Compare quotations and prepare cost analysis reports.
Inventory & Stock Coordination
- Work closely with store, warehouse, and production teams to track inventory levels.
- Monitor consumption patterns and forecast purchase requirements.
- Oversee GRN (Goods Receipt Notes) and ensure accurate documentation.
Documentation & Reporting
- Maintain accurate records of purchases, vendor contracts, invoices, and delivery notes.
- Prepare weekly/monthly purchase reports for management.
- Ensure compliance with company purchasing policies & statutory requirements.
Coordination
- Collaborate with finance to ensure timely vendor payments.
- Coordinate with quality teams for material inspection and approvals.
- Work with logistics teams for shipping, transport, and delivery tracking.
Skills & Qualifications
- Bachelor’s degree in Supply Chain, Business Administration, or relevant field.
- 3–8 years of experience in purchasing or procurement roles.
- Strong negotiation and communication skills.
- Good knowledge of supply chain, vendor management, and inventory management.
- Proficiency in MS Excel, ERP systems, and procurement software.
- Analytical, detail-oriented, and result-driven.
- Ability to work under pressure and meet deadlines.
