Summary:
The Purchasing and Facilities Coordinator assists the Purchasing and Facilities Manager in all procurement and facilities maintenance activities and serves as a lead worker, assisting with the daily workflow of the organization. This role manages purchase requisitions, obtains quotes, generates purchase orders, tracks deliveries, coordinates vendor services and reports building issues while monitoring its completion for multiple locations.

Essential Functions:

  • Procurement: Process purchase requisitions, obtain quotes, generate purchase orders, and track order status.
  • Vendor Management: Liaise with vendors, negotiate pricing, evaluate performance, and source new vendors.
  • Facilities Coordination: Report and track facility maintenance issues across multiple locations.
  • Invoice Processing: Assist with invoice processing and vendor setup.
  • Scheduling & Tracking: Maintain schedules for facility improvements and track contract renewals.
  • Documentation: Maintain accurate records of all purchasing and facilities activities.
  • Administrative: Perform other duties as assigned.

Qualifications, Licenses and Certifications:

  • High school diploma or equivalent.
  • 3 years of clerical experience, including 1 year in a lead worker role.
  • Certification from American Purchasing Society or Facilities Management (preferred).
  • Proficiency in MS Office Suite.
  • If an employee drives on behalf of the Court, the employee must possess and maintain a valid Michigan driver’s license, no fault insurance and access to a vehicle to use in the performance of assigned duties.

  • Ability to negotiate and problem-solve.
  • Proficient in using purchasing and inventory systems.
  • Ability to work independently and as part of a team.
  • Ability to operate motor vehicles and office equipment.
  • Ability to establish and maintain effective working relationships with all stakeholders (internal and external).
  • Ability to interact with the public professionally, addressing inquiries and resolving issues effectively.
  • Ability to operate office equipment.
  • Ability to work well under pressure.
  • Working knowledge of court processes and procedures.
  • Proven ability to exercise sound judgment and maintain confidentiality.
  • Ability to work with a diverse population.

Additional Requirements:

  • Successful completion of criminal and IV-D background check, fingerprinting and rechecks.
  • Applicants must be legally authorized to work in the U.S.

Physical Requirements:

  • Must be able to lift 25 lbs.

Grant funded positions are contingent on availability of grant funding and may be terminated should funding substantially reduce or cease. The affected employee may be considered as a candidate for other vacant positions within the Court for which they are qualified.

Job Type: Full-time

Pay: $53,190.00 - $73,888.00 per year
