Job Overview:
We are seeking a detail-oriented and organized Purchasing and Procurement Assistant to join our team. This will play a vital role in supporting our procurement operations by assisting with the procurement process, managing inventory, and ensuring timely materials delivery. The ideal candidate will have strong analytical skills, excellent communication abilities, and a solid understanding of procurement principles.
Responsibilities:
- Prepare, process, and track purchase orders (POs) in accordance with company policies, budgetary guidelines, and due dates.
- Verify and reconcile invoices against purchase orders and delivery receipts to ensure accuracy and resolve discrepancies.
- Maintain up-to-date vendor files, contracts, and supplier information in the procurement system.
- Communicate with suppliers regarding order status, pricing, delivery schedules, and any issues or changes.
- Monitor inventory levels and coordinate with warehouse or operations teams to flag low-stock items and initiate replenishment orders.
- Assist in obtaining quotes and comparing prices from multiple vendors to support cost-saving initiatives.
- Ensure all procurement activities comply with company policies, regulatory requirements, and ethical standards.
- Maintain accurate records of purchases, pricing data, and supplier performance for reporting and audit purposes.
- Own inventory management and assist with demand planning across the organization.
- Support the Plant Manager in daily production planning, including coordination with operations and manufacturing teams.
- Contribute as a member of the management team, supporting company growth initiatives including new sales channels (TikTok Shop, Amazon) and international expansion (Portugal facility).
- Liaise with logistics partners and internal teams to ensure on-time delivery of raw materials and components.
- Perform other related clerical and administrative duties as assigned.
Requirements:
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field (preferred)
- Proven experience in procurement or a related role
- Strong knowledge of procurement principles and practices
- Proficient in using procurement systems and software
- Excellent negotiation skills
- Ability to analyze data and make informed decisions
- Strong attention to detail and organizational skills
- Effective communication skills, both written and verbal
- Knowledge of materials management, supply chain, and inventory control concepts
- Familiarity with Unleashed Software is a plus
