Job Summary

The Purchasing Agent provides support of cost estimates based on detailed business needs. The position interacts frequently with both internal and external contacts. The role also supports the procurement team with organizing and maintaining critical information and providing information and reporting as required. Based on geographic location or knowledge expertise, the role may provide specialty focus in a business area or function. The Purchasing Agent demonstrates BGIS values in communication with clients and other team members and promotes awareness of safe work practices.

Procurement Activities

  • Coordinates estimating work following established processes and procedures.
  • Review specifications and customer requirements to determine means, methods and levels of quality needed.
  • Obtain material pricing and organize required information to create and submit proposals to customers.
  • Update customers utilizing 3rd party website platforms including status of the job once the quote is approved.
  • Order parts and track deliveries to update dispatch team and customers through various communication platforms.
  • Coordinate with the dispatch team to facilitate installation scheduling.
  • Contribute to procurement discussions with internal stakeholders, vendors, subject matter experts, customers, and business leaders.
  • Ensure all vendors and products meet safety, health, and environmental standards.
  • Contribute to the completion of other key initiatives as assigned.

Business Functions and Project Support

  • Prioritize organizational needs regarding meetings, deadlines, and timeframes.
  • Provide cost estimates in a timely manner facilitating projects tracking to established time guidelines and budgets.
  • Process warrantees for residential and commercial business.
  • Maintain current and historical procurement information data bases and reports for reference.
  • Assist with special projects, geographical based support, and/or knowledge expertise areas based on business and customer needs.

Knowledge & Skills

  • High school diploma or equivalent. Associates degree or additional education is a plus.
  • Minimum of 1 year estimating or other transferrable experience.
  • Previous HVAC industry and estimating with national account experience preferred.
  • Excellent customer service skills.
  • Problem solving agility to seek for root causes.
  • Solid math skills and analytical approach to utilize in considering project scope and methods required.
  • Excellent organization, planning, time management and documentation skills with the ability to multi-task and meet deadlines.
  • Strong research skills and analytical skills to analyze project requirements to accurately estimate costs foreach component, and ability to review/read information and demonstrate attention to detail.
  • Creative, self-starter with critical thinking skills, decision making, and ability to work both independently and contribute to the team.
  • Establish and maintain effective working relationships with team members, various internal department contacts, external resources, and clients.
  • High level of interpersonal skills including listening and ability to communicate effectively and clearly both with written and verbal messaging to internal and external contacts.
  • Proficiency in computer applications including Microsoft Office Suite.

  • Current valid driver’s license and ability to provide personal transportation for meetings and job visits away from the office with reimbursement.
