Description:

The Purchasing Assistant is responsible for supporting the procurement process by preparing and processing purchase orders, maintaining accurate purchasing records, and coordinating with suppliers and internal departments to ensure timely delivery of goods and services. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment.

Pay Range: $22 - $24 an hour.

Requirements:

Essential Job Functions:

  • Prepare, process, and verify purchase orders in accordance with company policies.
  • Communicate with vendors to confirm pricing, specifications, and delivery schedules.
  • Track and expedite orders to ensure timely delivery and resolve discrepancies.
  • Maintain accurate records of purchases and inventory levels.
  • Track shipments from suppliers.
  • Coordinate with internal teams (warehouse, finance, sales, customer service reps) to meet procurement needs.
  • Perform data entry into ERP or procurement systems (e.g., SAP, QuickBooks).
  • Monitor stock levels and assist with inventory management.
  • Generate reports on purchasing activities for management and vendors.
  • Ensure compliance with company policies and regulatory standards.

Critical Job Dimensions (Knowledge, Skills & Abilities):

  • 0–2 years in purchasing, procurement, or administrative support
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Familiarity with ERP or procurement software (SAP, QuickBooks)
  • Strong organizational and communication skills
  • Ability to prioritize tasks and work independently
  • Valid driver’s license

Required Job Related Education, Certificates/Licenses:

Associate degree in Business, Supply Chain, or a related field strongly preferred, or currently pursuing a degree with expected graduation in the middle to later stages of the program.
