Position Description
The Purchasing Assistant supports procurement operations for HVAC systems and materials used in new residential construction projects. This role ensures timely purchasing, cost control, and coordination with vendors, project managers, and field teams.
Qualifications
Procurement & Ordering
- Assist in purchasing HVAC equipment, including units from brands like Carrier, Trane, and Goodman
- Generate and process purchase orders (POs)
- Verify pricing, quantities, and specifications before ordering
Vendor Coordination
- Communicate with HVAC suppliers and distributors
- Track order status, deliveries, and backorders
- Maintain relationships with vendors such as local supply houses and distributors
Inventory & Materials Management
- Monitor inventory levels of HVAC materials (ductwork, thermostats, air handlers, etc.)
- Coordinate deliveries to job sites
- Ensure materials arrive on schedule to avoid construction delays
Documentation & Data Entry
- Maintain accurate purchasing records in ERP/accounting systems
- Update pricing sheets and vendor catalogs
- Match invoices with purchase orders and resolve discrepancies
Project Support
- Work closely with construction managers and HVAC supervisors
- Assist with material takeoffs based on plans and specifications
- Help ensure compliance with project budgets and timelines
Required Skills/Abilities:
- Strong organizational and multitasking abilities
- Proficiency in Excel and purchasing/ERP software
- Attention to detail in pricing and order accuracy
- Basic knowledge of HVAC systems (or willingness to learn)
Preferred Knowledge
- Familiarity with HVAC components and terminology
- Understanding of Manual J Load Calculation (helpful but not required)
- Experience working with residential construction schedules and workflows
Work Environment
- Office-based with frequent coordination with field teams and job sites
- Fast-paced environment supporting multiple construction projects

- Vendor responsiveness and issue resolution
Education and Experience:
- 1–3 years of purchasing, construction, or HVAC-related experience preferred
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
