POSITION
Purchasing Associate

JOB SUMMARY
The Purchasing Associate position at Whisha plays a vital role in ensuring efficient procurement processes. This individual is responsible for managing purchase orders, coordinating with regional teams, and ensuring compliance with all purchasing and inventory management procedures. This role requires a highly organized individual with strong attention to detail, excellent communication skills, and the ability to multitask effectively.

This position requires on-site presence in Greenbrae, CA for the first 90 days of employment and training, after which it will transition to a hybrid schedule.

RESPONSIBILITIES
1. Purchase Order Management:

  • Review and confirm purchase orders with warehouse teams, ensuring accurate conversions and timely receipt
  • Communicate with suppliers to track delivery schedules and resolve any order discrepancies
  • Monitor order calendars and provide suppliers with visibility into upcoming placements

2. Regional Coordination & Compliance:

  • Partner with regional teams to gather purchasing needs and coordinate procurement activities
  • Serve as the main contact for regional purchasing inquiries, ensuring smooth communication between teams and suppliers

3. Tracking & Reporting:

  • Maintain accurate records of purchase orders, delivery timelines, and vendor performance
  • Identify and address order issues or delays, escalating as needed to ensure timely fulfillment
  • Prepare and share regular reports and order status updates with internal teams

4. Invoice Reconciliation:

  • Verify that purchase orders, invoices, and payments align in the system for timely and accurate processing
  • Support accounting by resolving vendor payment, freight, or credit discrepancies

5. Item Maintenance:

  • Review, update, and maintain system data to reflect current costs, pricing, and item status (e.g., discontinued or out of stock)

REQUIRED SKILLS/ABILITIES

1. Experience in purchasing, procurement, or supply chain operations
2. Strong communication and interpersonal skills, with the ability to build relationships with vendors and internal teams.
3. Highly organized and detail-oriented, with the ability to manage multiple priorities and meet deadlines
4. Proficient in Microsoft Excel, Google Sheets, and procurement software (Cin7 preferred).

RECOMMENDATED EDUCATION AND EXPERIENCE:

  • Bachelor’s degree in business, Supply Chain Management, or a related field.
  • Experience in purchasing, procurement, or supply chain operations

SCHEDULE – 9:00 AM – 5:30 PM

JOB TYPE – Full time

LOCATION – Hybrid

REPORTING STRUCTURE – Reports directly to the Purchasing Coordinator

Hourly – $26-$30 per hour

Pay: $26.00 - $30.00 per hour
