Purchasing Clerk
Job Summary:
The Purchasing Clerk purchases all PO materials, including equipment, tools, goods, and supplies; issuesacknowledges purchase orders, maintains stock levels, ensures best pricing and lead times are obtained, and verifies receipt of items.
Job Functions:
- Issue Purchase Orders for the purpose of completing purchasing processes in accordance with established procedures

Maintains purchasing information such as files and records for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines
- Obtains Purchase Orders acknowledgements within 48 hours of issuance

Monitors and tracks orders as necessary to ensure timely delivery
- Ensures that materials are purchased at the best prices; requests price breaks as needed, and obtains 2nd and 3rd quotes when necessary

Negotiates with vendors for the purpose of resolving purchasing issues
- Maintains inventory stock levels, refills at proper intervals; makes substitutions when allowed

Assists in developing strategic planning to monitor changes affecting supply and demand, tracking market conditions, price trends, or future markets

Adheres to applicable federal and state purchasing regulations

Participates in weekly department meetings for the purpose of sharing any pertinent information and asking any necessary questions
- Responds to inquiries from a variety of internal and external sources for the purpose of providing information, direction, and/or appropriate referrals
- Keeps informed on company product lines, company procedures, and vendor reputationhistory, for the purpose of obtaining the best price, quality, service, and availability.
- Works closely with the Inside Sales Department and ShippingReceiving to ensure accurate and timely goods receipt

Makes all Broussard, LA branch collection calls, in an attempt to keep outstanding customer invoices paid in a timely manner
Requirements / Experience

High School Diploma or GED Equivalent
- Operating standard office equipment, including MS Office applications, copy machine, fax machine, and scanner

Knowledge of applicable federal and state purchasing regulations
- Planning and managing projects

Vendor relationships

- Knowledge of basic accounting and economic principles
- Knowledge of production processes, quality controls, and costs

Other Information
The Purchasing Clerk is located in the Broussard, LA, branch and reports to the General Manager. Hours are generally 8 AM to 5 PM, with OT as needed. Physical demands are minimal and typically require the following: 80% sitting, 10% walkin,g and 10% standing. Light lifting, carrying, pushing and/or pulling and some fine finger dexterity is required.
None to Minimal travel required.
Training
Purchasing Clerk training is generally to be carried out at the Broussard, LA location, but may be carried out at any location that may hire for this position. The General Manager is responsible for the Purchasing Clerk's training. When possible, the training will be directed by the General Manager, conducted with the assistance of an incumbent Purchasing Clerk, and/or Inside Salesman, as appropriate.
The following tasks shall be initially trained on the Purchasing Clerk function:

- Pricing

Maintaining inventory
- Collections for the Broussard, LA office (or for the home office when this position is hired at another branch)
The Purchasing Clerk shall be trained on the following software, as needed:

Outlook

Quickbooks

Excel

Other MS Office Programs as needed
The following PPE shall be required by the Purchasing Clerk:

Closed-toe shoes at branch offices

Steel-toe boots in a warehouse

Safety Glasses in the appropriate areas of the warehouse
