Fabricator & distributor of industrial gaskets & rubber seals looking for a self-motivated individual to help in a variety of areas including:
- Quoting & Sourcing
- Assist in preparing RFQs and collecting supplier quotes; compile price/lead‑time/commercial terms for comparison.
- Help identify and qualify new vendors; request samples, certifications, and NDAs when required.
- Maintain a database of current price lists, MOQs, and supplier contacts.
- Order Entry & Administration
- Enter and maintain Purchase Orders and Sales Orders; verify pricing, part numbers, and terms.
- Confirm order acknowledgments, delivery dates, and shipping methods; update stakeholders proactively.
- Create and maintain approved vendor lists.
- Quote & Sales Follow‑Up
- Track open quotes; conduct timely follow‑ups with customers to close opportunities and capture reasons won/lost.
- Prepare customer‑facing quote revisions and order confirmations; ensure on‑brand, error‑free documents.
- Expediting, Logistics & Receiving Support
- Monitor open POs, expedite late orders, and coordinate inbound freight (domestic and international).
- Work with carriers/forwarders on bookings, paperwork, and tracking; communicate ETAs to internal teams.
- Assist Receiving with discrepancies, damage, or over/short shipments; help initiate RMAs as needed.
- Inventory Coordination
- Support cycle counts and min/max settings; flag potential stock‑outs and slow‑moving items.
- Prepare basic demand/usage summaries from historical data to inform buys.
- Supplier & Quality Support
- Request and file supplier documents (W‑9, COI, certs, compliance statements).
- Support resolution of non‑conforming material and corrective actions with vendors.
- Ensure adherence to company policies and applicable standards.
Qualifications
- 1–3 years of experience in Purchasing, Supply Chain, Customer Service, or related administrative role; manufacturing/distribution environment preferred.
- Proficiency with ERP/CRM systems (e.g., QuickBooks) and Microsoft Excel
- Strong written and verbal communication; professional phone/email etiquette.
- High attention to detail, organization, and follow‑through in a fast‑paced setting.
- Ability to manage multiple priorities and deadlines with minimal supervision.
- Eligibility to work in the U.S.
Nice to Have
- Familiarity with reading basic mechanical drawings (dimensions/tolerances).
- Knowledge of common industrial materials (rubber, plastics, metals, adhesives) and UPS/Fed Ex freight basics.
- Experience with vendor negotiations or cost‑reduction projects.
