Job summary
The Purchasing Coordinator is responsible for supporting the organization’s procurement operations by managing purchase orders, coordinating with vendors, and maintaining accurate records of all purchasing activities. This role ensures the timely and cost-effective acquisition of materials, supplies, and services to support company operations while maintaining strong vendor relationships.

Key responsibilities

  • Prepare, issue, and track purchase orders for materials, supplies, and services.
  • Source and evaluate potential suppliers to ensure quality, reliability, and cost efficiency.
  • Negotiate pricing, terms, and conditions with suppliers to achieve cost savings and favorable terms.
  • Coordinate with internal departments to determine purchasing needs and priorities.
  • Monitor inventory levels and assist with replenishment planning.
  • Maintain accurate purchasing and vendor records within various company systems including Certificates of Analysis (COAs) and technical data sheets..
  • Monitor supplier performance and resolve order discrepancies, shortages, transportation issues and invoicing issues in a timely manner.
  • Assist in the preparation of purchasing reports, budgets, and forecasts.
  • Ensure compliance with company policies, procedures, and purchasing guidelines.
  • Support continuous improvement initiatives related to procurement and supply chain operations.
  • Stay informed of market trends, new products, and changes in supplier conditions.
  • Serve as a backup for front desk functions.

Qualifications and skills

  • Associate’s degree in Business Administration, Supply Chain Management, or related field preferred.
  • 3+ years of experience in purchasing, inventory management, or supply chain coordination.
  • Strong analytical, negotiation and vendor management skills.
  • Detail-oriented with strong organizational and time-management skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Excellent written and verbal communication skills
  • Collaborative mindset, with the ability to work effectively with cross-functional teams.
  • Experience sourcing dietary ingredients or packaging for nutraceuticals a plus.
  • Familiarity with documentation such as COAs, MSDS, and supplier qualification forms.
  • Proficiency in Microsoft Office and Google Suite; experience with SAP or purchasing software preferred.
  • Bilingual: English and Spanish a plus.

Job Type: Full-time

Pay: $45,000.00 - $50,000.00 per year
