Position Overview
Magnolia Patio and Pool is a rapidly growing design-build company specializing in luxury outdoor living spaces. We are seeking an experienced Purchasing & Estimating Manager to lead procurement strategy, vendor management, and cost control — while also supporting estimating and pricing accuracy for proposals. This is a newly created leadership role designed to bring structure, consistency, and profitability to how we price, purchase, and manage vendor relationships.
The Purchasing & Estimating Manager is responsible for managing vendor relations, purchasing operations, and estimating accuracy to ensure profitability and consistency across all projects. This role will oversee the purchase order system, maintain the company cost catalog, develop and update pricing templates, negotiate vendor pricing, and track estimating accuracy versus actual job costs.
Key Responsibilities
· Purchasing & Procurement Operations:
· Own and manage the Purchase Order (PO) system in BuilderTrend (or other platforms).
· Review and approve all POs for accuracy, cost codes, and proper job assignment.
· Establish and maintain standardized purchasing workflows and approval processes.
· Oversee and train administrative staff performing PO data entry and vendor documentation updates.
· Forecast material needs and coordinate delivery schedules to align with production.
· Vendor Management & Negotiation:
· Build and maintain strong, long-term relationships with vendors and subcontractors.
· Negotiate pricing, terms, and volume discounts to improve gross margins.
· Obtain and manage pricing agreements, subcontractor agreements, insurance certificates, and W-9s.
· Organize and maintain a vendor filing system with complete, up-to-date documentation.
· Evaluate vendor performance and ensure compliance with company and legal requirements.
· Cost Catalog & Pricing Structure:
· Create and maintain a standardized cost catalog for materials, subcontractor services, and upgrades.
· Develop pricing structures and proposal templates for use by the design and sales teams.
· Update pricing regularly based on market trends, vendor agreements, and internal performance data.
· Collaborate with accounting and production to ensure job cost accuracy and profitability tracking.
· Estimating & Cost Analysis:
· Assist in the estimating process for new projects — reviewing plans, specifications, and scope of work.
· Prepare and verify cost estimates for labor, materials, and subcontractor services.
· Work closely with designers and sales staff to ensure accurate and competitive proposals.
· Analyze completed jobs to compare estimated versus actual costs, identifying variances and trends.
· Recommend adjustments to pricing strategies and cost assumptions to improve future accuracy.
· Inventory & Cost Control:
· Develop and oversee an inventory tracking system for high-use materials and equipment.
· Forecast material demand and coordinate bulk orders to reduce costs and delays.
· Monitor job costs, purchase trends, and waste to identify cost-saving opportunities.
· Cross-Functional Collaboration:
· Work closely with Sales, Design, Production, and Accounting teams to align estimating, purchasing, and cost reporting.
· Support the creation of pricing packages, upgrades, and feature add-ons for client proposals.
· Provide leadership in improving purchasing efficiency, transparency, and budget control across departments.

In addition to base compensation, the Purchasing & Estimating Manager will be eligible for a performance-based bonus, tied directly to measurable company objectives in cost management, estimating accuracy, and operational efficiency.

Pay: $68,000.00 - $80,000.00 per year
