Job purpose
We are seeking a Purchasing Specialist who will be responsible for full-lifecycle of quoting, sourcing, purchasing and maintaining license information for client products.
Duties and responsibilities
- Prepare all client quotes using our quoting system
- Maintain and update quoting System when applicable
- Maintain Client License information using our PSA
- Serve as the expert on MIS’ licensing stack
- Create and Process purchase orders for products through our PSA
- Work with resellers to maintain viable relationships
- Perform the RMA process to procure replacement products from manufacturers and vendors or refund
- Perform product research and solutions for customers
- Credit Card reporting
- Coordinate with accounting on all customer orders and renewals, billable, not billable, invoices and payments
- Return defective equipment from manufacturers and vendors for replacement or new purchase
- Research the market for the highest quality products at the lowest possible price
- Prepare reports regarding product costs
- Assist the receiving Clerks with their duties and responsibilities as needed
- Understand the Sales Order process to prepare for receiving products processed through the purchasing process
- Document internal processes and procedures related to duties and responsibilities
- Understand process in ConnectWise by completing assigned training materials and blueprints on the ConnectWise University
- Enter work as activities or service tickets in ConnectWise
Requirements
- 1-3 years of procurement or related experience
- IT Hardware/Software product knowledge
- Licensing

- Strong organizational and customer service skills
- Proficient in general office applications
- Excellent interpersonal skills: such as telephony skills, communication skills and customer care
- Ability to multi-task and adapt to changes quickly
- Document internal processes and procedures related to duties and responsibilities
- Understand process in ConnectWise by completing assigned training materials and blueprints on the ConnectWise University
Minimum Qualifications
- Ability to maintain accuracy when processing purchase orders, reviewing invoices, and tracking deliveries
- Strong time management and prioritization skills to handle multiple requests, vendors, and deadlines efficiently
- Clear and professional verbal and written communication with vendors, internal teams, and stakeholders
- Aptitude for identifying purchasing issues (e.g., pricing discrepancies, backorders) and resolving them quickly
Working conditions
The Purchasing Specialist position usually works regular business hours but may be required to work additional hours to meet requirements. This position generally works in an office setting environment
