The Role

As a Purchasing Supervisor, you will be responsible for overseeing the daily operations of the purchasing function, ensuring that all goods and services are procured efficiently, on time, and in accordance with company standards and operational requirements. You will work closely with various departments to ensure the seamless supply of materials, food, beverage, and operational items while maintaining cost control and compliance with procurement policies.

This role is responsible for supporting the Purchasing Manager in supervising procurement activities, maintaining supplier relationships, monitoring inventory requirements, and ensuring purchasing processes are conducted with the highest standards of integrity, efficiency, and accuracy.

Key Areas of Responsibilities

Procurement & Supplier Management

  • Oversee the procurement of goods and services, ensuring quality standards and operational requirements are met while maintaining cost control.
  • Develop and maintain positive working relationships with suppliers and vendors to ensure timely delivery of products and services.
  • Assist in negotiating pricing, payment terms, and delivery schedules to achieve the best value for the company.
  • Monitor supplier performance and coordinate the resolution of any delivery, quality, or service-related issues.
  • Ensure all purchase orders and procurement transactions are processed accurately and in a timely manner.


Inventory Control & Stock Management

  • Monitor inventory levels for food, beverage, operating supplies, and general materials to ensure sufficient stock availability.
  • Coordinate with departments to anticipate purchasing needs and avoid shortages or operational disruptions.
  • Assist in implementing inventory control procedures to minimize wastage, overstocking, and discrepancies.
  • Ensure proper storage and handling practices are maintained to preserve product quality and compliance standards.


Team Leadership & Supervision

  • Supervise and support purchasing team members in their daily responsibilities.
  • Assign and prioritize tasks to ensure efficient workflow and adherence to operational deadlines.
  • Provide training and guidance to team members on procurement procedures and company policies.
  • Foster a collaborative and professional working environment within the purchasing team.


Cost Control & Budget Monitoring

  • Monitor purchasing activities to ensure expenses remain within approved budgets.
  • Review purchase requests, quotations, and purchase orders for accuracy and compliance with budget guidelines.
  • Identify opportunities for cost savings and process improvements without compromising quality and service standards.
  • Support the Purchasing Manager in implementing cost-effective purchasing strategies.


Compliance & Documentation

  • Ensure all procurement activities comply with company policies, industry standards, and legal regulations.
  • Maintain accurate records and documentation for purchase orders, invoices, contracts, delivery receipts, and supplier agreements.
  • Ensure all purchasing files and records are organized and readily available for audit and operational review purposes.
  • Support compliance with health, safety, and sustainability standards related to procurement activities.


Reporting & Coordination

  • Prepare regular reports related to purchasing activities, supplier performance, inventory levels, and purchasing trends.
  • Coordinate closely with Finance, Food & Beverage, Culinary, and Operations teams to support operational requirements.
  • Assist the Purchasing Manager with monthly reporting, data analysis, and procurement planning activities.
  • Support the sourcing and evaluation of new products, suppliers, and purchasing solutions that align with operational and sustainability goals.


Process Improvement & Operational Support

  • Continuously identify opportunities to improve purchasing procedures and operational efficiency.
  • Assist in implementing procurement best practices and process enhancements.
  • Support company initiatives focused on sustainability, responsible sourcing, and operational excellence.
  • Perform any additional duties as required to ensure operational smoothness and procurement efficiency.
