POSITION SUMMARY:
Under the supervision of the Planning & Zoning Director, the Administrative Assistant provides administrative support to the Planning & Zoning Department. This position acts as the Recording Secretary/Clerk to the Planning Commission and Zoning Board of Appeals, supports department administrative functions to help ensure efficient and timely day-to-day workflow, and provides guidance and assistance to customers.

ESSENTIAL DUTIES:

  • Act as the Recording Secretary/Clerk to the Planning Commission (PC) and Zoning Board of Appeals (ZBA).
    • Arrange for publishing, distributing, and posting legal notices and other notices as required by the Zoning Enabling Act.
    • Compile, distribute, and post meeting agendas and packet materials.
    • Attend evening meetings, take and prepare meeting minutes.
    • Process members’ per diem pay.
  • Support Planning & Zoning Department general administrative functions.
    • Maintain accurate and complete Zoning Action files and PC and ZBA meeting records.
    • Post essential information online and keep department website up to date, in coordination with appropriate departments.
    • Work with township officials to keep up-to-date contact information.
    • Prepare and distribute permit reports, meeting minutes, and meeting agendas monthly and as requested.
    • Assist in processing department Freedom of Information Act requests, as needed.
  • Process applications for Zoning Action and permit applications for Zoning and Soil Erosion.
    • Intake applications including collecting and processing fees.
    • Create files, organize, copy and scan documents into BS&A permitting software program.
    • Compose, send, and follow-up on requests for outstanding information.
  • Greet and assist the public with requests for information and in navigating department processes.
    • Provide information and advise customers regarding application deadlines, processes, and documentation requirements.
    • Respond to counter inquiries, phone calls, and monitor/respond to emails.
    • Redirect a variety of inquiries from the public and governmental agencies, as needed.
  • Other duties to support the Planning & Zoning Department as assigned by the Director.

KNOWLEDGE, SKILLS, & ABILITIES:
Detail-oriented, excellent communication skills – including exceptional telephone etiquette, organizational skills, precise computer entry, ability to exercise independent judgment. Knowledge of computer software word processing and data entry programs. Detailed knowledge of, or the ability to learn, the legal notification process for Planning Commission and Zoning Board of Appeals cases. Excellent attention to detail. Ability to process fees including cash, checks, and credit cards. Ability to prioritize tasks to ensure continuation of operations. Ability to seek out processes, which could increase efficiency within the departments. Ability to work independently with minimal supervision. Ability to work a minimum of two night meetings per month.

EDUCATION:
Prefer associate’s degree or equivalent relative experience. Minimum high school diploma or equivalent.

EXPERIENCE:
Experience in a fast-paced office setting involving keystrokes and extensive use of computer applications and file processing. Prefer experience in meeting deadlines, familiarity with Microsoft Office Suite, BS&A software and have a general understanding of internet use.

CERTIFICATIONS/LICENSES REQUIRED:
None. Continuing education is encouraged.

PHYSICAL DEMANDS:
Duties require sufficient mobility to work in a normal office setting and use standard office equipment including a computer, vision to read printed materials and a computer screen and hearing and speech sufficient to communicate in person or over the telephone. Ability to listen and type comments as they’re being made and generally summarize discussions during public meetings.
