Job Description


Egis is seeking a highly organized, proactive, and technically proficient QA/QC Coordinator to lead and continuously enhance document control operations across major infrastructure programmes in the MESA region. This role goes beyond routine checking, Egis requires an expert capable of designing, implementing, configuring, and administering full EDMS/CDE ecosystems such as Bentley ProjectWise, Autodesk Construction Cloud (ACC), Aconex and SharePoint.

The Document Control Manager will collaborate closely with project managers, technical disciplines, and client representatives. This role ensures that workflows, approvals, submissions, and information exchange processes are secure, compliant, and aligned with Egis’ global best-practice standards.

Key Responsibilities

  • Establish, manage, and refine document control procedures, policies, and standards for capturing, storing, sharing, and distributing project information.
  • Promote strong management practices and deliver training to project teams on document control systems, processes, and compliance requirements.
  • Serve as the primary administrator for EDMS environments including ProjectWise, ACC Aconex and SharePoint.
  • Configure metadata templates, folder structures, workflows, permissions, roles and automated approval processes.
  • Create/deactivate users, manage access rights, and maintain secure permission groups.
  • Develop project-specific workflows and automation rules aligned with engineering, construction and client requirements.
  • Monitor system functionality and performance; troubleshoot issues and coordinate resolutions.
  • Ensure EDMS platforms operate optimally across all project phases and teams.
  • Maintain technical support documentation, user guides, and best-practice references.
  • Ensure documentation complies with project standards, contractual requirements, as per ISO standards.
  • Conduct internal compliance audits and issue reports identifying risks, gaps and corrective actions.
  • Oversee the full lifecycle of project submissions including drawings, RFIs, technical submittals, permits, change requests, NCRs, TQs and other deliverables.
  • Track submission deadlines, expedite overdue items and coordinate reviews with all stakeholders. Maintain high accuracy of logs, registers and audit trails.
  • Prepare weekly and monthly dashboards, KPIs and compliance metrics.
  • Review and validate project data, ensuring accuracy across all registers and reporting tools.
  • Maintain organised digital and hard-copy archives aligned with retention schedules.
  • Oversee document close-out, handover deliverables and record packages (O&M manuals, as-builts, asset information models, etc.).

Qualifications

  • Bachelor’s degree in Information Management, Engineering, Construction Management or related field.
  • Additional certifications in Document Control, Information Management (ISO 19650), or EDMS tools are an advantage.
  • 8–10+ years’ experience in document control for large-scale engineering or construction projects.
  • Strong track record developing, implementing and managing EDMS/CDE solutions across multiple contracts and stakeholders.
  • Advanced proficiency in ProjectWise, ACC, Aconex, SharePoint
  • Strong knowledge of ISO standards
  • Experience preparing audit records, compliance documentation and workflow SOPs.
  • Thorough understanding of file naming conventions, revision control and metadata frameworks.
  • Excellent communication, coordination and stakeholder-management skills.
  • Strong analytical mindset with high attention to detail and accuracy.
  • Familiarity with local project delivery requirements, regulatory frameworks and client expectations.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
