Role Purpose:
To support the Head of Collections in all aspects of the planning and delivery of the Collections Plan including:
Duties and Responsibilities:
Collections database:
1.Carry out programme of improvements on the collections database, as set out in the documentation plans and agreed by the Head of Collections.
2. Maintain collections records and track object movements, ensuring that they are accurate and up-to-date and meet Spectrum standards.
3. Support the process to create records, inputting data, carrying out basic object photography, measuring and weighing objects etc.
Acquisitions:
4. Liaise with donors, vendors, QM’s Acquisitions Department and relevant QOSM colleagues to negotiate and process acquisitions.
5. Register acquisitions and update records, liaising with the Curatorial Department and Conservation Departments to complete relevant records to meet Spectrum standards.
6. Assist with rationalisation and disposals, as required.
Loans:
7. Liaise with lendors, Curatorial and Exhibitions, finance, procurement and legal colleagues to negotiate and process incoming and outgoing loans.
8. Prepare loan requests and agreements, completing all the required documentation, including facilities reports, insurance, contract documentation and Emu records to meet Spectrum standards.
9. Obtain approvals and track progress, then manage, monitor and report on loan terms and conditions.
Displays and Exhibitions:
10. Organise and implement collections logistics, liaising with colleagues and contractors.
11. Organise local and international shipping, drafting the scope of work and other relevant paperwork, and liaising with the responsible departments and contractors.
12. Provide assistance with art handling and display work, packing, collections movement, tracking and shipping.
Online Collections:
13.Manage workstream for QOSM’s Online Collections records, liaising with curatorial, digital, galleries and other colleagues to organise photography.
14.Carry out verification checks on Online Collections records to ensure consistency and accuracy and meet the required standards.
Collections Management:
15. Carry out the full range of collections management and housekeeping tasks, preparing reports as required.
16. Organise, coordinate and oversee collections transportation, ensuring object safety at all times.
17. Progress the collections inventory work and audit action plan as required.
18. Assist with preventive conservation measures, including re-packing and storage, environmental monitoring, Integrated Pest Management.
19. Assist with emergency planning and preparedness.
