Role Overview

The Quality and Admin Coordinator supports both administrative and clinical operations to ensure compliance with organizational policies, regulatory requirements, and quality standards. The role involves monitoring processes, assisting with audits, identifying gaps, supporting corrective actions, and helping implement continuous improvement initiatives across the polyclinic.

Key Responsibilities

1. Quality Assurance & Compliance

  • Assist in conducting regular audits of clinical and administrative processes.
  • Identify operational gaps, risks, and non-compliance issues.
  • Support the implementation and tracking of corrective actions.
  • Maintain accurate records of audits, findings, and quality improvement initiatives.

2. Quality Management System (QMS) Responsibilities

  • Implement policies and ensure adherence across teams.
  • Facilitate training and awareness on QMS, compliance, and operational standards.
  • Collaborate with teams to improve workflows and operational efficiency.
  • Assist in updating SOPs based on audits, regulatory standards, and best practices.

3. Administrative Support

  • Assist with day-to-day administrative operations, including documentation, scheduling, and record-keeping.
  • Ensure proper filing, storage, and retrieval of clinical and administrative records.
  • Support HR, finance, and operational teams with data management for reporting and compliance purposes.

Qualifications & Skills

  • Bachelor’s degree in Healthcare Administration, Nursing, Life Sciences, or related field.
  • 1–4 years of experience in quality assurance, clinical administration, or healthcare operations.
  • Knowledge of audits, Quality Management System (QMS), gap analysis, Root Cause Analysis (RCA), corrective action planning, and process improvement.
  • Familiarity with regulatory standards such as DHA, MOHAP, etc., is an advantage.
  • JCI Accreditation experience is a plus.
  • Strong organizational, analytical, and problem-solving skills.
  • Proficient in Microsoft Office Suite and reporting tools.
  • Position open for UAE Nationals with a valid Family Book.
