The QA & HR Documentation Specialist plays a dual role in ensuring the quality and compliance of clinical services and managing the documentation of HR records. This position is critical in maintaining accurate, up-to-date clinical files, ensuring regulatory and insurance compliance, and supporting human resources with onboarding, credentialing, and personnel record-keeping. The ideal candidate is highly organized, detail-oriented, and familiar with both healthcare compliance and HR best practices.
Key Responsibilities:Quality Assurance (QA) Responsibilities:
- Conduct regular audits of client records, progress notes, behavior intervention plans (BIPs), and session documentation.
- Monitor treatment plan renewals and insurance reauthorization timelines.
- Ensure compliance with HIPAA, BACB ethics code, payer guidelines, and agency policies.
- Track and verify completion of supervision logs for RBTs and behavior analysts.
- Assist with incident tracking and reporting in accordance with internal procedures.
Human Resources (HR) Documentation Responsibilities:
- Maintain up-to-date personnel files, including licenses, certifications, background checks, and training records.
- Track credentialing and recredentialing timelines for clinical staff.
- Coordinate onboarding documentation and ensure compliance with agency and state requirements.
- Support internal audits by preparing necessary HR documents.
- Notify staff of expiring documents and ensure timely submission of renewals.
Qualifications:
- Education: Healthcare Administration, Human Resources, or related field preferred.
- Experience:
- Minimum 1–2 years of experience in QA, HR, or administrative role, preferably in a behavioral health or healthcare setting.
- Familiarity with ABA services and documentation standards is a plus.
- Skills:
- Excellent attention to detail and organizational skills.
- Ability to manage multiple priorities and meet deadlines.
- Proficient with Google Workspace or Microsoft Office.
- Familiarity with HRIS and EHR systems (e.g., CentralReach, Rethink, or similar) is a plus.
- Strong written and verbal communication skills.
Schedule & Compensation:
- Hours: 35 hours per week; schedule can be flexible within business hours.
