Position Overview:
The Executive Assistant to the Principal Broker provides high-level administrative, operational, and strategic support to ensure the smooth and efficient management of the brokerage. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced real estate environment. The ideal candidate is proactive, detail-oriented, and capable of anticipating needs while supporting both business operations and client-facing activities.
Key Responsibilities:
- Provide sales and leasing support to the Principal Broker
- Provide direct administrative support to the Principal Broker, including calendar management, scheduling appointments, and coordinating meetings.
- Serve as a primary point of contact between the Principal Broker, clients, tenants, agents, and external partners.
- Prepare, review, and manage real estate documents such as contracts, listings, disclosures, leases, and correspondence.
- Coordinate sales transactions from listing to closing, ensuring all deadlines and compliance requirements are met.
- Assist in marketing efforts, including managing listings, managing residential vacancies, social media, email campaigns, and promotional materials.
- Maintain and organize client databases, files, and records with a high level of accuracy and confidentiality.
- Handle communications including phone calls, emails, and client and tenant inquiries in a professional and timely manner.
- Support office operations, including vendor coordination, supply management, and process improvement initiatives.
- Assist with event planning, client appreciation activities, and team coordination.
- Conduct research and compile reports to support business decisions and growth strategies.
Qualifications:
- Must be a licensed Real Estate Broker in the state of Oregon.
- Proven experience as an executive assistant, administrative assistant, or similar role, preferably in real estate.
- Strong understanding of residential leasing, real estate transactions, contracts, and terminology is highly desirable.
- Excellent organizational and time-management skills with the ability to prioritize effectively.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite, CRM systems, and real estate platforms (e.g., MLS).
- High level of professionalism, discretion, and confidentiality.
- Ability to work independently and take initiative in a dynamic environment.
- Detail-oriented with strong problem-solving skills.
Preferred Skills:
- Experience with marketing tools such as Canva, social media platforms, and email marketing systems.
- Familiarity with transaction management software.
- Familiarity with property management software is a plus.
Work Environment:
This position operates in a professional office setting with occasional requirements for extended hours based on business needs. The role may involve both in-office and remote work, depending on company policies.
