Position: Real Estate Customer Care & Administration Executive

Job Summary

We are seeking a proactive and organized Customer Care & Admin Executive with real estate 2 to 3 years’ experience to manage tenant communications, contract administration, renewals, and regulatory documentation. The candidate must be familiar with UAE tenancy laws, contract processes, and property administration across Ajman, Sharjah, and Dubai.

The role requires strong coordination between tenants, landlords, brokers, accounts, and government authorities.

Key Responsibilities

1️ Tenant & Customer Relationship Management

  • Handle tenant inquiries (calls, emails, walk-ins)
  • Address complaints and maintenance follow-ups
  • Coordinate between tenant and property management team
  • Maintain professional communication with landlords and buyers
  • Ensure high customer satisfaction and timely resolution

2️ Contract Administration

  • Prepare and draft:
  • Tenancy Contracts
  • Lease Agreements
  • Addendums & Amendments
  • Verify tenant documents (Emirates ID, Passport, Visa, Trade License if company lease)
  • Ensure contract compliance with UAE tenancy law
  • Upload contracts to:
  • Ejari (Dubai)
  • Tawtheeq (if applicable)
  • Ajman/Sharjah Municipality system (as applicable)
  • Maintain proper digital & physical filing

3️ Renewal Management

  • Track contract expiry dates (120 / 90 / 60 / 45-day reminders)
  • Send renewal notices as per UAE Law
  • Coordinate rental revision approvals
  • Prepare renewal contracts
  • Follow up for PDC collection & documentation
  • Update system after renewal completion

4️ Payment & Reminder Coordination

  • Send rent due reminders
  • Track post-dated cheques (PDC)
  • Coordinate with Accounts department for:
  • Outstanding payments
  • Security deposit adjustments
  • Service charge dues
  • Prepare payment follow-up reports

5️ Off-Plan / Sales Admin Support (If Applicable)

  • Prepare SPA documentation support
  • Follow up on instalment schedules
  • Coordinate documentation with developers
  • Maintain buyer records & payment tracking

6️ Compliance & Legal Coordination

  • Ensure compliance with:
  • RERA (Dubai)
  • Ajman Municipality regulations
  • Sharjah tenancy regulations
  • Prepare documentation for:
  • Legal notices
  • Eviction notices
  • Rent dispute cases
  • Coordinate with legal advisors when required

7️ Reporting & Record Management

  • Maintain tenant database
  • Monthly renewal status report
  • Vacancy report
  • Outstanding payment report
  • Contract expiry tracker
  • Maintain CRM or ERP updates (Odoo preferred)

Required Qualifications

  • Bachelor’s degree (Business Administration preferred)
  • Minimum 2–4 years UAE real estate experience
  • Knowledge of:
  • Ejari system
  • UAE Tenancy Law
  • Basic accounting coordination
  • Strong MS Office skills
  • ERP / CRM experience preferred

Job Type: Full-time

Pay: AED2,500.00 - AED3,500.00 per month
