Background Information:
Ali Mills is a full service real estate broker, operating out of Windermere Issaquah. She’s been in the business 10+ years. She is a top producer in her office, generally completing 20--30 transactions per year, handling a volume of approximately $30m per year. She works with both buyers and sellers, primarily along the I-90 and 405 corridors, serving the majority of the Eastside and occasionally beyond.
The Ali Mills Group is dedicated to providing 7-star service in what is often considered to be a 3-Star industry. Her goal is to offer her clients an unparalleled level of service before, during and beyond the closing of any transaction. Ali works with buyers and sellers across all price points, however a good portion of her business is in the luxury sector ($2m+), and she hopes to increase her presence in the luxury sector.
This role offers a chance to grow professionally while making a tangible impact on our clients’ real estate journeys through innovative marketing and meticulous listing management.
Summary of Scope of Work
We are seeking a dynamic and detail-oriented Real Estate Listings & Marketing Coordinator to join my vibrant team. In this role, you will be the driving force behind getting listings ready for the market, consolidating client relationships, and executing innovative marketing strategies that attract and engage prospective buyers and sellers. Your energetic approach and organizational prowess will ensure our listings stand out in a competitive market, while your excellent communication skills foster strong relationships with clients, vendors, and team members.
LISTINGS MANAGEMENT: Provide full support for listing preparation, activation and management of upcoming and live property listings. Duties will include, but may not be limited to the following:
· Creating and managing listing activity schedules
· Refining listing launch checklist and SOPs (Standards of Practice)
· Schedule and attend property inspections
· Scheduling contractors, obtaining estimates and project managing
· Coordinating staging, photography, floorplans and videography
· Property visits to install Keyboxes, deliver booties, silent talkers etc. plus maintenance visits as needed once home is in the market, and during closing window
· Input listing data into MLS and creating online listings
· Hosting open houses (real estate license required)
· Drafting and sending weekly seller activity reports
· Briefing and assisting front desk staff with creation of marketing materials to promote listing – flyers, brochures, just listed, pending, sold letters etc
· Managing preferred vendor database
BUYER SUPPORT:
· Schedule showings with clients, request showing appointments through Showing Time app or direct with agent/seller
· Schedule and attend buyer inspections (real estate license required)
· Assist with buyer showings as needed, and with reasonable notice across the broader Eastside area (real estate license required)
CRM & CLIENT CARE AUTOMATION AND FACILITATION
· Database tagging & Segmentation
· Workflow automation – documenting SOPs (standards of Procedures) for elements of the business such as:
· Client Appreciation Events & Seasonal Pop by Gifts
· Buyer and Seller Procedures
· House-iversaries and birthdays
· Annual property reviews
MARKETING SUPPORT:
· Email campaign set up and deployment
· YouTube upload support
· Social media – content creation, Meta/Instgram scheduling
· Design & print of Quarterly / monthly marketing materials
· Event Coordination

Preference for those with active real estate license and experience in real estate sector, either in production, marketing or administration, will be considered a bonus.
PART-TIME: approximately 20+ hrs/week. Potential to flex to full time as the business grows. In addition to hourly wage, a bonus will be paid per transaction.
Pay: $25.00 - $50.00 per hour
