Real Estate Office Manager-Homewood

OFFICE MANAGER JOB DESCRIPTION

The Office Manager is the honorary owner of their respective offices. This person represents the ARC brand and culture both internally and externally and is charged with ensuring that office life is happy and smooth. Maintaining an understanding of the company’s policies, processes, and tools, the Office Administrator is the first line of defense for agents’ questions, helping to streamline communication and increase agent adoption. This position is the first face anyone who enters ARC will see.

DIRECT REPORT: VP of Operations

SECONDARY REPORT: Office Broker

HUMAN RESOURCES: CFO

OFFICE MANAGEMENT RESPONSIBILITIES

· Answer telephones and greeting clients between 8:30 and 4:30

· Support agents with general questions and needs

· Keep office organized and stocked (order supplies, maintain a tidy workspace, etc.)

· Responsible for checking the mail and Dropbox and distributing each day

· Manage office calendars and scheduling appointments for your office

· All Amazon, Strickland, Wal-Mart etc orders will be ordered by this position

· Print and stock Buyer and Seller Packets

· All forms used by agents kept printed and stocked in the workroom

· Coordinate front desk coverage with Broker. If Broker needs additional help coordinate a backup with Amy Henson

AGENT TRANSACTION RESPONSIBILITIES

· Assist with Showing Desk (showing set up, communicating with agents)

· Receive Earnest Money checks giving a copy to customers as well as emailing a copy to your agent

· Maintaining status for MLS listings (cancelled, withdrawn, sold, etc.)

· Entering listings to MLS for agents in your office. (this is a basic service that will only include adding all information into a partial status and is only available in the Birmingham MLS)

· Setting up transactions in Paperless Pipeline as well as scanning. Organizing and correctly naming documents as well as adding transaction information and storing.

MARKETING RESPONSIBILITIES

· Maintain the sign wall/sign stock (including restocking daily and ordering) Signs are open to all agents from any office to take at any time.

· Create basic marketing materials from marketing provided templates (i.e. open house flyers, new listing flyers) *MARKETING HAS A NEW CANVA COMING 5/1 THAT YOU WILL HAVE ACCESS TO CREATE FLYERS WITH MORE EASE

· Serve as the main point of contact and liaison with marketing to check statuses on projects for agents. Lillie will be your marketing contact for these types of questions. You can also email marketing@arcrealtyco.com

· Complete marketing requests on behalf of your agent, the goal here is to be proactive and simplify them. (if an OM completes the marketing request, they will enter their name to help with communication between the office and marketing)

OFFICE CORDINATOR RESPONSIBILITIES

· Schedule the use of all conference rooms to ensure no overlap

· Keeping the schedule for any after-hour or office specific events for your branch

Pay: $45,000.00 - $55,000.00 per year

Education:

  • High school or equivalent (Preferred)

Experience:

  • Real estate administrative: 3 years (Required)
