<Overview>
The Real Estate Paralegal will assist full time real estate attorneys in all aspects of residential real estate transactions from contract to closing. The position involves file management, client communication, title and closing coordination, document preparation, and administrative support related to real estate transactions.
<Responsibilities>
- Manage real estate transaction files from contract to closing; calendar and track critical deadlines and contingencies
- Review contracts, attorney review letters, and title commitments; flag basic title issues
- Order and monitor title searches, surveys, payoffs, HOA letters, municipal certificates, inspections, and mortgage commitments
- Prepare and maintain closing checklists, closing packages, and settlement figures; assist with attorney review and post-closing file closing
- Schedule and coordinate closings with clients, lenders, title companies, and realtors
- Communicate with clients and third parties about document requests, transaction status, and closing instructions; follow up on outstanding items
- Draft correspondence and prepare closing documents as needed
- Scan, upload, organize, and archive transaction documents; maintain file management system and calendar
- Provide general administrative support to the real estate team as needed
- Schedule and track all inspections during attorney review, calendar contingency deadlines, and notify attorney/parties of upcoming expirations.
- Review and summarize inspection reports, flag material defects, and prepare inspection objection/repair request drafts for attorney approval.
- Coordinate contractor estimates, verify completion of repairs (invoices/re-inspections), and document/save all inspection materials in the transaction file.
<Qualifications>
- Proven paralegal experience with a focus on real estate law or related fields. (law firm, title company, or real estate office)
- Excellent organizational skills with the ability to manage multiple projects simultaneously while maintaining attention to detail.
- Proficiency in legal administrative tasks such as proofreading, transcription, filing, data entry, and document management systems.
- Strong communication skills
- Proficiency in Microsoft Office (Word, Outlook, Excel) and Adobe
- Experience with real estate contracts and closing process preferred
