Real Estate Transaction Coordinator (VA)

We are looking for a precision-oriented Transaction Coordinator (TC) to manage our "Contract-to-Close" workflow. You will be the glue that holds our deals together, ensuring every deadline is met, every document is signed, and every stakeholder is informed.

Key Responsibilities

1. Contract-to-Close Support

  • Deadline Management: Create and maintain a master timeline for every transaction, tracking earnest money deposits, inspection periods, and loan contingencies.
  • Closing Checklists: Build and execute exhaustive checklists for every deal to ensure compliance with state regulations.

2. Document Management & Compliance

  • File Organization: Maintain digital transaction folders in platforms like Dotloop, DocuSign, or SkySlope.
  • Audit Readiness: Collect all required signatures, initials, and disclosures; submit completed files to the broker for final review.

3. Stakeholder Coordination

  • The Hub of Communication: Act as the primary point of contact for clients, escrow officers, and co-broke agents once a property is under contract.
  • Status Updates: Send weekly "milestone" emails to clients to keep them calm and informed throughout the closing process.

4. Vendor & Partner Support

  • Third-Party Logistics: Coordinate with lenders for appraisal updates and title companies for escrow/closing statements.
  • Inspection Scheduling: Arrange home, pest, and roof inspections based on contract timelines.

5. CRM & Pipeline Administration

  • Data Integrity: Update the CRM (e.g., Follow Up Boss or Brivity) with real-time deal status.
  • Milestone Logging: Document all critical notes and communication logs for legal protection and internal reporting.

Requirements

  • Precision: An obsession with details—you find the missing initial that everyone else missed.
  • Experience: Previous experience as a Real Estate TC or Licensed Assistant is highly preferred.
  • Tools: Expert-level knowledge of transaction management software and electronic signature tools.
  • Availability: Must be available to respond to urgent contract needs during American Time Zone/Shift business hours.

Job Type: Part-time

Pay: Rs6,500.00 - Rs15,000.00 per month
