Job Purpose:

A dynamic shift role fronting the reception and administration of the marina, ensuring that guests are welcomed and assisted efficiently.

Coordinating communications between vessels, individuals, the Residence, other departments, and emergency services as situations require.

Ensuring that vessels entering or leaving the waterway are in full practical and administrative compliance with all local and national regulations and requirements.
Job Responsibilities:

Opening and closing procedures for the marina office.
-
Respond to all guest enquiries and booking requests (telephone, WhatsApp, email) in a timely manner and take action as required according to RSG Marina Operations standards.

Checking in guests and recording all yachts using the marina system, posting all related costs to the appropriate account as needed.

Invoicing and receiving payments for all marina-related transactions. Allocation of such payments within the system.

Memorable and efficient yacht check-out, ensuring completion of customer surveys.

Preparation of daily financial packages and related reports as needed.

Cash handling.

Exercise a high level of discretion and confidentiality, even within the company.

Collects and distributes scheduled and ad hoc information, documents, and reports. Takes initiative to prepare, update, and follow up on tasks, correspondence, and reports to ensure timely progress toward deadlines.

Support the Marina Manager and the Administration Manager with yacht account queries and marina contracts.

Providing guest inductions and educating marina guests on the key rules of the marina.

Offer administrative assistance to marina operations as needed.

Manage and improve filing storage systems as needed for both hard and soft files.

Ensure that housekeeping and general maintenance standards are maintained by calling or electronically logging faults as required to the relevant departments.

Supporting fuel operations when the marina operations team is unavailable.

Greet as many members as possible; welcoming all visiting boats is a MUST upon arrival and farewell during departure.

Handles guest requests and complaints politely and efficiently, provides further instructions to the relevant staff when needed to ensure customer satisfaction, and maintains a record of all requests received from guests. Follows up as necessary.

Issuing keys and security passes, if applicable, while monitoring all marine traffic on the VHF and responding when required.

Actively engage in all training programs and acquire additional skills.

Organizing and assisting with special events and exhibitions.

Assisting management and other staff with additional matters as reasonably required.

Cleaning and organizing office and guest areas as necessary to ensure guest satisfaction is upheld.
Qualifications & Experience:

High school diploma or equivalent.
-
A minimum of one year of experience in reception or front desk hospitality, or alternatively, a hospitality qualification.
Skills:
-
Conveys information accurately via telephone, messages, emails, and other communication methods.

Speaks and writes well in both English and Arabic.

Proficient in Microsoft Office packages.

Should be confident in driving a vehicle.
Job Context:
-
This role requires on-site work at the marina, often outdoors and in the presence of guests. The Receptionist will greet guests and be the first person marina visitors encounter, necessitating strong communication skills and a well-presented appearance. They will receive and respond to client inquiries, assuming a role similar to that of a hotel reception desk.
