Job Description:

Maintain an orderly reception, office entrance and storage areas.

Answer all incoming calls, take notes on the call and transfer the call to an authorised staff member, when necessary, make outgoing calls.

Maintain a list of all ACTECON staff and business contacts' phone numbers.

Manage freight/courier and other operational services and maintain complete records of outgoing and incoming documents.

Scan all incoming documents and registering them in the document management system

Keep track of office stationery, identifying and ordering shortages, monitoring stationery usage.

Monitor meeting rooms for availability and unscheduled meetings. Use meeting management system to organise meetings.

Assist other support staff in purchasing office and kitchen supplies, sending ACTECON publications to the mailing list, arranging accommodation and travel, organising ACTECON events.

Responsible for the proper functioning of all equipment in the meeting rooms and, if necessary, call technicians for repairs.

In the absence of the catering staff, provide catering services to ACTECON's guests.

Fulfil any other requests from ACTECON's Managing partners, Counsels, Senior Associates and senior management.
