We are a modern medical spa and wellness practice specializing in IV therapy, regenerative treatments, and personalized beauty and recovery services. Our atmosphere blends luxury and professionalism, and our team is dedicated to helping every client look and feel their best — inside and out.

We are looking for an experienced, upbeat, and reliable Receptionist to join our growing team. This person will be the first and last point of contact for our clients and will play a key role in keeping daily operations organized, efficient, and client-centered.

About the Role

You’ll help create a welcoming and seamless client experience from check-in to checkout. You’ll manage scheduling, communication, payments, and coordination between staff and clients — all while keeping the front desk polished and professional.

The ideal candidate is detail-oriented, calm under pressure, confident with multitasking, and passionate about health, wellness, and aesthetics.

Responsibilities

  • Greet and check in clients with warmth, professionalism, and a smile
  • Manage the daily appointment schedule and client flow
  • Answer phone calls, emails, and messages promptly and courteously
  • Process payments, invoices, and client records accurately
  • Confirm appointments, follow up with clients, and help rebook future visits
  • Educate clients about memberships, loyalty, and referral programs
  • Maintain front desk organization, appearance, and daily setup
  • Support communication between management, providers, and clients
  • Promote services, specials, and packages in a natural, confident way
  • Help with client reviews, social media engagement, or marketing projects as needed
  • Uphold privacy and confidentiality for all client information

Requirements

  • 2–3 years of front desk or customer service experience in a medical spa, aesthetics, or wellness setting (required)
  • Strong multitasking and organizational skills
  • Professional communication and interpersonal skills
  • Comfortable using EMR, CRM, or scheduling systems
  • Tech-savvy with Microsoft Office and digital tools
  • Friendly, dependable, and polished in appearance
  • Must maintain confidentiality and professionalism at all times
