Responsibilities

  • Greet and assist visitors, clients, and staff in a professional manner.
  • Ensure guests have refreshments, or wi-fi details while waiting.
  • Answer, screen, and forward telephone calls; take messages when required.
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Assist in setting up meeting rooms (arranging refreshments, ensuring equipment is ready)
  • Handle incoming and outgoing mail, couriers, and packages.
  • Monitor and order office supplies as needed.
  • Monitor and order office stationery as needed.
  • Provide clerical support including photocopying, printing, scanning, and filing.
  • Ensure reception area is clean, organized, and welcoming.
  • Ensure meeting rooms are clean, organized, and welcoming.
  • Act as the first point of contact in case of emergencies, following procedures.
  • Onboarding formalities for new joiners: Collating of documents, booking flights and accommodation
  • Registering new Lawyers with the Dubai Legal Affairs Department
  • Assist in Visa issuance and renewal
