Position Summary

The Receptionist is responsible for managing the front desk operations and providing exceptional customer service to visitors, clients, and employees. This role serves as the first point of contact and ensures smooth day-to-day administrative support across the office.

Responsibilities Front Desk & Visitor Management

  • Greet and welcome visitors in a professional and friendly manner.
  • Manage visitor logbook, issue visitor passes, and inform relevant employees of guest arrivals.
  • Answer, screen, and forward incoming phone calls promptly.
  • Maintain a clean, organized, and presentable reception area.

Administrative Support

  • Handle incoming and outgoing mail, courier services, and deliveries.
  • Assist with scheduling meetings, booking meeting rooms, and preparing refreshments when required.
  • Maintain office supplies inventory and place orders as necessary.
  • Support administrative and HR tasks such as filing, scanning, and document preparation.

Communication & Coordination

  • Provide accurate information to visitors and staff regarding office policies and procedures.
  • Coordinate with facility management for maintenance or repair issues.
  • Assist other departments with administrative tasks when needed.

Record Keeping

  • Maintain updated contact lists and office directories.
  • Ensure proper documentation of correspondence, reports, and other administrative files.

Qualifications & Requirements

  • Diploma/degree in Business Administration.
  • Proven experience as a receptionist or front desk representative preferred.
  • Strong communication and interpersonal skills.
  • Professional appearance and positive attitude.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Excellent organizational and multitasking abilities.
  • Ability to handle sensitive information with confidentiality.

Job Types: Full-time, Permanent

Pay: AED3,000.00 - AED4,000.00 per month
