Job Overview
We are seeking a professional and organized Receptionist to serve as the first point of contact for our office. The ideal candidate will possess excellent communication skills, strong organizational abilities, and proficiency with various office management tools. This role involves managing front desk operations, handling multi-line phone systems, and providing exceptional customer service to clients and visitors. The Receptionist will support daily administrative functions to ensure smooth office operations and maintain a welcoming environment.

Responsibilities

  • Greet visitors and clients in a courteous and professional manner
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments and manage calendar coordination for staff and executives
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software
  • Handle incoming and outgoing correspondence, including emails and mail distribution
  • Assist with basic bookkeeping tasks using QuickBooks or similar accounting software
  • Support office management tasks such as supply inventory and organization of office space
  • Provide customer support via phone, email, or in person with excellent phone etiquette
  • Proofread documents for accuracy before distribution
  • Maintain confidentiality of sensitive information and ensure compliance with company policies

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with the ability to multitask efficiently
  • Excellent communication skills, both verbal and written; bilingual abilities are a plus
  • Experience with multi-line phone systems and front desk operations
  • Office management or administrative experience preferred; clerical experience is advantageous
  • Knowledge of QuickBooks, data entry, filing systems, and basic bookkeeping is desirable
  • Strong attention to detail with proofreading skills
  • Ability to handle customer service interactions professionally and courteously
  • Time management skills to prioritize tasks effectively
  • Familiarity with medical or dental receptionist duties is a plus but not required; personal assistant experience is beneficial
  • Computer literacy including typing speed and familiarity with office software applications

Job Type: Full-time

Pay: $16.00 - $25.41 per hour
