Responsibilities

  • Greet visitors warmly and direct them appropriately, ensuring a professional and friendly reception experience
  • Manage multi-line phone systems, screen calls, and transfer inquiries efficiently using proper phone etiquette
  • Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools, ensuring easy access to important documents
  • Support office management duties such as calendar management, appointment scheduling, and coordinating meetings or personal assistant tasks
  • Assist with clerical duties like proofreading documents, managing incoming and outgoing mail, and maintaining office supplies
  • Provide excellent customer service by addressing inquiries promptly and supporting visitors or clients with their needs

Requirements

  • Proven experience in office administration or clerical roles, preferably as a receptionist or in a customer service capacity
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Excellent organizational skills with keen attention to detail and accuracy in data entry and proofreading tasks
  • Ability to manage time efficiently, prioritize tasks effectively, and handle multiple responsibilities simultaneously
  • Knowledge of office management practices and general administrative procedures
  • Professional appearance and excellent communication skills to foster positive interactions with visitors and team members
