Receptionist

Overview
We are seeking a dynamic and friendly Receptionist to join our team and serve as the welcoming face of our organization. This role is vital in creating a positive first impression for visitors, clients, and staff while ensuring smooth daily operations. Your responsibilities will include managing front desk activities, handling multi-line phone systems, and supporting administrative functions with efficiency and professionalism. Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle incoming and outgoing correspondence, including emails, mail, and packages
  • Maintain front desk organization by managing filing systems, data entry, and document proofreading
  • Support office management tasks such as calendar management, appointment scheduling, and meeting coordination
  • Assist with clerical duties including photocopying, faxing, and updating records using Microsoft Office and Google Workspace tools
  • Provide exceptional customer support by addressing inquiries efficiently and courteously
  • Perform general administrative tasks such as filing, data entry, and maintaining office supplies inventory

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent computer literacy with the ability to quickly adapt to new software tools like QuickBooks for bookkeeping purposes
  • Strong phone etiquette skills with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Exceptional time management skills to prioritize tasks efficiently in a fast-paced environment
  • Attention to detail for proofreading documents and maintaining accurate records
  • Previous experience as a dental or medical receptionist is a plus but not required; relevant personal assistant experience is also valuable
  • Knowledge of office management best practices along with customer service expertise to foster positive interactions at all times
