Job Summary
We are seeking an energetic and highly organized Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily operations. Duties
- Greet visitors, clients, and vendors warmly, creating a positive first impression
- Answer multi-line phone systems promptly and professionally, directing calls accurately
- Manage front desk responsibilities including scheduling appointments and maintaining visitor logs
- Handle incoming and outgoing correspondence, including emails, mail, and packages
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Support office management tasks such as calendar management and supply inventory tracking
- Assist with bookkeeping duties using QuickBooks or similar accounting software when needed
- Maintain cleanliness and organization of the reception area to uphold a professional environment
- Provide customer support by addressing inquiries efficiently and courteously
Requirements
- Proven experience in office administration or clerical roles, preferably as a receptionist or administrative assistant
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional phone etiquette and communication skills; bilingual abilities are a plus
- Experience with multi-line phone systems and office management software such as QuickBooks is preferred
- Demonstrated ability to handle confidential information discreetly
- Strong typing skills with attention to detail for proofreading and data entry tasks
- Previous experience in customer service or customer support roles is highly desirable
- Knowledge of medical or dental receptionist duties is a bonus but not required
- Personal assistant or calendar management experience will be considered an asset
