Receptionist

About the Role:

The Receptionist plays a critical role as the first point of contact within our manufacturing facility, ensuring a welcoming and professional environment for clients, visitors, and employees. This position is responsible for managing multi-line phone systems efficiently, handling inquiries, and directing calls to appropriate departments with excellent phone etiquette. The Receptionist also performs a variety of general administrative and office duties that support the smooth operation of the front office, including managing correspondence, scheduling appointments, and maintaining records. By effectively coordinating communication and administrative tasks, the Receptionist contributes to the overall productivity and positive image of the company. This role requires a detail-oriented and personable individual who can multitask and maintain composure in a fast-paced manufacturing environment.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience as a receptionist or in a similar administrative role.
  • Proficiency in handling multi-line phone systems and general office equipment such as copy machines and fax machines.
  • Strong communication skills with excellent phone etiquette.
  • Basic computer skills including familiarity with Microsoft Office Suite.

Preferred Qualifications:

  • Experience working in a manufacturing or industrial environment.
  • Additional training or certification in office administration or customer service.
  • Familiarity with scheduling software and office management systems.
  • Ability to handle confidential information with discretion.
  • Bilingual skills or additional language proficiency.

Responsibilities:

  • Answer and manage multiple phone lines promptly and professionally, directing calls to the appropriate personnel or departments.
  • Greet and assist clients, visitors, and employees in a courteous and professional manner, ensuring a positive first impression.
  • Perform general administrative duties such as filing, copying, faxing, and managing incoming and outgoing mail.
  • Maintain the reception area to ensure it is clean, organized, and welcoming at all times.
  • Coordinate appointment scheduling and maintain calendars for meetings and company events.
  • Assist with general office duties including data entry, inventory tracking of office supplies, and supporting other administrative staff as needed.
