Oaks, Hartline & Daly, LLP (OHD) is a distinguished law firm specializing in estate and gift planning, probate and estate administration, trust administration, and business structuring tailored to tax considerations. We are seeking a Receptionist/Administrative Assistant to join our law firm. This role is vital in ensuring smooth daily operations by managing front desk responsibilities, maintaining accurate filing systems, and providing exceptional customer support. The ideal candidate is a polished professional who will interact with clients and be the first point of contact for visitors to the firm. This position offers an opportunity to work in a dynamic environment where attention to detail and organizational skills are essential for success. Hours are 9:00 a.m. to 5:30 p.m. Monday through Thursday and 9:00 a.m. to 4:00 p.m. Friday. A high level of professionalism and confidentiality is required.
Responsibilities:
· Greet visitors and clients in a courteous and professional manner
· Answer incoming calls, screen and route them to attorneys or staff, take accurate messages, and handle inquiries professionally
· Manage calendar appointments for attorneys, confirm meetings, and coordinate conference rooms
· Handle incoming and outgoing mail, packages, and correspondence
· Prepare documents for client meetings
· Record and store client information and documents
· Maintain accurate filing systems both electronically and physically
· Organize and maintain office common areas
· Maintain office equipment as needed
· Maintain the strictest level of client confidentiality
· Offer exceptional customer service by addressing inquiries promptly and professionally
· Perform any other tasks or functions deemed necessary to the daily operations of the firm
Qualifications:
· Previous experience as a receptionist or administrative assistant in the legal field preferred
· Ability to prioritize and multitask
· Excellent written and verbal communication skills
· Excellent organizational skills, time management skills, and attention to detail
· Strong phone contact handling skills and active listening
· Proficient with technology and ability to learn our software systems
· Ability to act with integrity, professionalism, and confidentiality
· Self-motivated with excellent interpersonal skills
· Strong customer service skills with a friendly demeanor and professional appearance
