Case Administrator (Legal Support)

Employment Type: Full-Time

FLSA Status: Non-Exempt

Salary Grade or Range: Dependent upon qualifications and experience

Reports to: Lead attorney and paralegal

Summary:

The Legal Secretary works in a fast-paced environment under the direction of the lead attorney and paralegal, assists in performing administrative tasks that are specific to the firm as well as standard administrative duties.

Essential Duties and Responsibilities:

  • Create, Transcribe, and proofread legal documents
  • File, organize, scan, copy, fax, edit and mail legal documents
  • Schedule court depositions, mediations, property inspections, hearings, and other meetings
  • Make travel arrangements for attorneys, as needed
  • Perform general clerical duties such as check requests, expense reports, and submitting invoices for processing
  • E-File and/or Serve documents with the court and opposing counsel ahead of deadlines
  • Provide administrative support to one or more attorneys and paralegals
  • Effectively communicate with witnesses, clients, courts, mediators, and opposing counsel
  • Produce and file various legal documents such as correspondence, Answers, Responses, petitions, and Discovery
  • Preserve an updated electronic case record system by means of daily data entry
  • Answer phone, take notes/messages and redirect calls when appropriate
  • Facilitate the meeting of deadlines by keeping multiple calendar agendas from court-issued Orders or interoffice deadlines, and provide timely reminders
  • Keep an organized electronic mail system
  • Regular and predictable attendance and punctuality
  • Train part-time clerks assigned to team

Knowledge, Skills, and Abilities:

  • Outstanding time-management and typing skills
  • Proficiency in grammar, spelling, and punctuation
  • Ability to manage and prioritize multiple projects and tasks while meeting deadlines
  • Familiarity with legal documents and terminology
  • Ability to effectively prioritize and meet deadlines
  • Excellent written and oral communication skills
  • Courteous and professional demeanor
  • Ability to work as a team with attorneys and paralegals
  • Strong sense of discretion

Computer Skills:

  • Proficiency with MS Office tools
  • Proficiency in Adobe Acrobat
  • Typing speed of at least 50 wpm with a high rate of accuracy
  • Proficiency with e-filing is preferred
  • Working knowledge of litigation management software systems is a plus

Required Education and Experience:

  • Minimum High School Diploma or equivalent
  • Associate Degree in Legal Studies or related field required
  • 2+ years’ experience in administrative role

Working Conditions and Environmental Consideration:

  • Indoor office environment
  • Requires sitting and using a computer for extended periods of time
  • May be required to move items up to 20 pounds
  • Overtime may be required to complete certain projects and meet deadlines
