Job Summary

The Receptionist – Administrative Assistant plays an important role in supporting the day-to-day operations of the company by providing administrative, office, and marketing assistance. This position serves as the first point of contact for clients and visitors and helps support a variety of projects with professionalism, efficiency, and attention to detail.

Location: In-person, Wichita office

Type of job: Full-time, salaried, non-exempt


Key Responsibilities
:

Administrative & Office Support

  • Prepare daily remote bank deposits.
  • Prepare annual account review reports for specific list of critical account relationships.
  • Prepare distribution/contribution instructions for processing.
  • Approve client bills for processing.
  • Maintain accurate client and account information by updating the CRM and other databases.
    • Personal cell phone required for multi-factor authentication for software access.
  • Other administrative tasks as need.

Reception & Front Desk Duties

  • Answer, screen, and direct incoming calls.
  • Greet clients and visitors; connect them with appropriate internal staff.
  • Set up and prepare conference rooms for various daily meetings.
  • Arrange travel, meal delivery, accommodations, and conference registrations.
  • Collect daily mail from USPS and distribute internally.
  • Receive and distribute deliveries from UPS, FedEx, and other delivery services.
  • Provide general office support.

Marketing & Client Support:

  • Assist in assembling materials and special projects as needed.

Qualifications:

Education & Experience

  • Bachelor’s degree or equivalent combination of education and work experience.
  • Experience in financial services (trust, legal, banking, investments, or accounting) or professional services environments preferred.

Skills & Competencies

  • Demonstrated telephone skills with the ability to use independent judgment in handling calls.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Excellent organizational skills and ability to prioritize multiple tasks.
  • High attention to detail.
  • Strong written and verbal communication skills.
