The Front Desk Administrative Assistant serves as the first point of contact for students, employees, and visitors while providing general administrative and clerical support to on‑site leadership, Student Services, and HR teams.
Key Responsibilities

Welcome cadets, students, employees, guests, and visitors in a courteous and professional manner

Maintain a clean, organized, and welcoming front desk and reception area

Answer incoming phone calls, route calls appropriately, and take clear, accurate messages

Respond to general inquiries and provide information or directions within the facility

Issue, track, and collect visitor badges in accordance with facility procedures

Receive, sort, and distribute incoming mail, packages, and deliveries
-
Assist with outgoing mail and shipping requests
-
Support basic email monitoring and message routing under supervision

Track office supply inventory and notify appropriate staff when replenishment is needed

Maintain basic records, files, and documentation (paper and electronic)

Provide administrative support to the Center Leader, Head of Operations, and Student Services team

Assist with logistics and setup for orientations, meetings, and student or employee events

Help coordinate internal site communications

Support uniform distribution and assist with inventory tracking for students and employees

Assist with HR‑related administrative tasks as directed by the HR team

Perform additional clerical and administrative duties as assigned
Minimum Requirements
We are seeking a dependable, organized, and customer-focused individual who is eager to learn and grow in a professional office environment.

High school diploma or equivalent required

Previous experience in customer service, reception, hospitality, or office support

Strong verbal communication skills with a professional, approachable demeanor

Basic computer proficiency, including email and Microsoft Office (Word, Excel, Outlook)

Ability to follow instructions and work within established processes

Willingness to learn new systems, tools, and procedures
-
Ability to manage multiple tasks with guidance and prioritize daily responsibilities

Strong attention to detail and organizational skills
-
Reliable, punctual, and able to work effectively in a team environment

Ability to remain calm, courteous, and professional in a busy front desk setting
