Receptionist and Scheduler

Job Summary
We are seeking a detail-oriented and organized Scheduler to join our team. The ideal candidate will be responsible for managing appointments, coordinating schedules, and providing exceptional customer service. This role requires proficiency in various office management tasks and the ability to communicate effectively with clients and team members. The Scheduler will play a crucial role in ensuring smooth operations within the office.

Duties

  • Manage and coordinate appointments using scheduling software and tools
  • Answer multi-line phone systems, directing calls appropriately while maintaining excellent phone etiquette
  • Provide front desk support, greeting clients and visitors with professionalism
  • Maintain organized filing systems for easy access to documents and records
  • Perform data entry tasks accurately and efficiently
  • Assist with bookkeeping tasks as needed, including tracking expenses and managing invoices
  • Utilize Microsoft Office and Google Workspace for document creation, data management, and communication
  • Proofread documents for accuracy before distribution
  • Support administrative functions including calendar management for team members
  • Provide customer support by addressing inquiries and resolving issues promptly
  • Collaborate with other departments to ensure seamless operations

Qualifications

  • Previous office experience is required; clerical experience is a plus
  • Strong computer skills, including proficiency in Microsoft Office Suite
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously
  • Bilingual candidates are encouraged to apply to enhance communication with diverse clients
  • Experience as a medical receptionist
  • Strong typing skills with attention to detail for accurate data entry and documentation
  • Effective time management skills to prioritize tasks efficiently
