Receptionist, Community Supervision and Corrections Department

Job Summary

Greets all visitors, ascertains the nature of their business, and directs them to the appropriate staff. Responsible for all incoming calls using proper phone etiquette, transferring calls, forwarding messages, and returning calls as necessary. Responsible for recording payments and providing daily cash reports of all transactions. Prepares necessary documentation for court proceedings when needed.

Major Duties

  • Adhere to Texas State Laws, Department policies/procedures, and directives, and exemplify professionalism at all times.
  • Maintain a high degree of integrity by keeping confidential information and/or documentation in strictest confidence.
  • Log all visitors in an Excel spreadsheet. This file must be prepared at the end of each day shift to be ready for the next day.
  • Receive court dockets and inform the respective secretary, and assist with court paperwork as needed.
  • Ensure proper phone etiquette and follow through with forwarding messages and returning calls.
  • Complies and prepares statistical reports as needed by the Management Team.
  • Maintain required Excel spreadsheets for secretary duties.
  • Work after hours if necessary.
  • Prepares outgoing mail and correspondence, including e-mail.
  • Perform any and all duties as instructed by the immediate Supervisor and/or CSCD Management.

Minimum Qualifications

  • Must have a high school diploma or GED from an accredited institution.

Occasionally

  • Ascending or descending ladders, stairs, scaffolding, ramps, poles.
  • Moving oneself in different positions to accomplish tasks in various environments, including tight and confined spaces.
  • Remaining in a stationary position, often standing or sitting for prolonged periods.
  • Moving to accomplish tasks or moving from one worksite to another.
  • Adjusting or moving objects up to 10 pounds in all directions.
  • Operating motor vehicles or heavy equipment.
  • Driving a County vehicle or a personal vehicle for County business.
  • Working in low temperatures.
  • Working in high temperatures.
  • Working in outdoor elements such as precipitation and wind.
  • Working in noisy environments.
  • Light work that includes carrying objects up to 20 pounds.

Constantly
  • Communicating with others to exchange information.
  • Repeating motions that may include the use of wrists, hands, and/or fingers.
  • Assessing the accuracy, neatness, and thoroughness of the work assigned.
  • Sedentary work that primarily involves sitting/standing.

Other Requirements/Information
  • This position is not covered under Civil Service; however, all other Webb County policies apply.

Valid Texas Driver’s License*
  • If the applicant holds an out-of-state license, a State of Texas Driver’s License must be obtained prior to employment.
