Department: Garage / Automotive Service Center
Reports To: Garage Manager / Service Manager
Job Purpose
To manage front-desk operations and deliver excellent customer service by handling customer inquiries, coordinating service appointments, and ensuring smooth communication between customers and the garage team.
Key Responsibilities
Reception & Front Desk
- Greet customers courteously and professionally upon arrival
- Manage incoming calls, WhatsApp, and emails related to service inquiries
- Maintain visitor logs and customer records
Customer Service
- Understand customer vehicle issues and clearly communicate them to service advisors/mechanics
- Open job cards and explain service procedures, timelines, and estimated costs
- Provide regular updates to customers on vehicle status
- Handle customer complaints and escalate unresolved issues to management
Coordination & Administration
- Schedule service appointments and manage daily service bookings
- Coordinate with technicians for job allocation and completion status
- Prepare invoices, service receipts, and delivery notes
- Maintain filing of service records, warranties, and customer documents
Billing & Cash Handling (if applicable)
- Collect payments and issue receipts
- Ensure accuracy of billing and closing reports
Compliance & Standards
- Follow company SOPs, customer service standards, and safety guidelines
- Maintain cleanliness and professional appearance of reception area
Qualifications & Requirements
- High school diploma or equivalent (Diploma preferred)
- 1–3 years of experience in a garage, automotive showroom, or service center
- Basic knowledge of automotive services is an advantage
- Proficient in MS Office and billing software
- Good communication skills in English (Arabic is an advantage)
- Customer-focused, organized, and presentable
