Job Details
Responsibilities:

Welcome clients and visitors, and ensure they are comfortable and well-informed.

Answer, screen and forward incoming phone calls on a multi-line phone system, ensuring all calls are directed accurately and efficiently.

Maintain a clean and organized reception area to uphold the firm's professional image.

Handle sensitive information in a confidential manner.
-
Coordinate and schedule meetings, appointments, and travel arrangements for attorneys.

Perform administrative duties such as filing, typing, copying, binding, scanning, etc.
-
Prepare and distribute paperwork, legal documents, and correspondence.

Use MS Office to create spreadsheets, presentations, and documents as required.

Perform data entry tasks with a high level of accuracy and attention to detail.

Provide excellent customer service and handle client inquiries in a timely manner.
Qualifications:
-
Minimum of 5+ years of experience as a receptionist, preferably in a law firm or legal setting.

Proven work experience in handling a multi-line phone system.
-
Strong communication skills, both verbal and written, with the ability to interact with clients, attorneys, and staff in a professional manner.

Proficient in MS Office (Word, Excel, PowerPoint, and Outlook).

Exceptional organizational skills and the ability to multitask and prioritize work.

High level of accuracy and attention to detail in data entry and preparation of paperwork.

Ability to handle sensitive information with the highest degree of integrity and confidentiality.

Demonstrated ability to provide excellent customer service and handle client inquiries in a professional and timely manner.

High school diploma or equivalent; higher degree or certification in Office Administration is a plus.
