Receptionist / Onboarding & Offboarding Specialist (Hiring Support)**MUST SPEAK ENGLISH AND SPANISH*

Job Summary

The Receptionist / Onboarding & Offboarding Specialist is the first point of contact for visitors, applicants, and employees and supports the employee lifecycle from recruiting coordination through onboarding and separation processing. This role supports hiring activities, maintains accurate employee records, and ensures a smooth, compliant, and welcoming front-office experience while assisting Human Resources with day-to-day administrative needs.

Duties & Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: other duties as assigned

Front Desk / Reception

· Greet and assist visitors, applicants, vendors, and employees in a professional and courteous manner.

· Answer and route phone calls; take accurate messages; assist with general inquiries in English and Spanish.

· Maintain front lobby organization, visitor logs, and badge/sign-in procedures (as applicable).

· Manage incoming/outgoing mail, deliveries, and general office support tasks (copying, scanning, filing).

· Coordinate scheduling needs for interviews, orientations, and HR meetings.

· Any other duties as assigned

Recruiting / Hiring Support

· Support recruiting activities including job posting coordination, application intake, and communication with candidates.

· Screen applications for minimum qualifications and coordinate interview scheduling with hiring managers.

· Maintain hiring workflow documentation and status tracking to support timely hiring.

· Assist with offer preparation steps (as directed), pre-employment documents, and onboarding scheduling.

· Any other duties as assigned

Onboarding

· Coordinate onboarding logistics including orientation scheduling, onboarding checklists, and required new-hire paperwork.

· Collect, verify, and route new hire documentation; ensure required forms are completed accurately and on time.

· Create/maintain employee files and ensure confidential handling of employee records.

· Coordinate with internal departments (payroll, operations, supervisors) to ensure new hires are set up appropriately.

· Any other duties as assigned

Offboarding

· Coordinate separation processing including resignation/termination paperwork, exit checklists, final day instructions, and file updates.

· Support exit communication steps (as directed), ensure documents are completed, and maintain separation records.

HR Administrative Support

· Maintain employee recordkeeping and filing systems (electronic and/or paper), ensuring accuracy and confidentiality.

· Support HR with updates to policies/procedures and basic employee questions, escalating issues as needed.

· Assist with training coordination and on-site scheduling support, as needed.

· Assist with HR reporting and basic metrics tracking (e.g., time-to-hire and turnover tracking), as assigned.

· USDA MANDATORY PRICE REPORTING DATA ENTRY

· Any other duties as assigned

Qualifications, Experience & Requirements

· Bilingual required: English/Spanish speaking, reading, and writing.

· Experience: Minimum 1–2 years of experience supporting hiring practices (recruiting coordination, interview scheduling, onboarding paperwork, applicant communication, etc.). (Your requirement—added as requested.)

· Strong communication and people skills; professional customer-service mindset.

· Working knowledge of basic HR practices and confidentiality expectations.

· Comfortable learning and using HR or applicant tracking systems, email, scheduling tools, and spreadsheets.

· Strong organization, attention to detail, and ability to manage multiple priorities in a fast-paced environment.

· Familiarity with employment/labor law basics and hiring compliance

· Prior experience in a manufacturing/production or plant environment.

Legal Working Requirements

· Must adhere to all Quality Assurance and HACCP protocols and regulations.

· Legal to work in the U.S. without the need for a Visa Sponsorship

· Must be 18 years of age or older.

Educational Requirements

· High school diploma or GED required.

· Associate’s degree in Human Resources, Business, or a related field preferred, or equivalent combination of education and relevant hiring/onboarding experience.

Pay: $24.00 per hour
